Share a wedding day time schedule tool?

My other bride is wanting to plan out the minute by minute day of the wedding time schedule (sounds too anal, I mean detailed for me) does anyone have a good tool that they are using or have used to set up the overall day timeline?  hopefully with different tracks each for the couple, and key wedding party members who have tasks to do.

  • This isn't anal at all... its very helpful to have a wedding day timeline so you know approximately when events will take place and what time to be where.

    Here's mine:

    9:00-10:30 setup/decorating
    1:00-11:45 Hair for Bride & BM's
    11:45-12:30 Bride Makeup
    12:30-1:30 lunch
    2:00 get dressed/ready
    2:30-4:30 pictures
    5:00 ceremony starts
    5:30-6:30 cocktail hour
    6:30 B&G entrance
    6:30 dinner is served
    7:15 cake cutting
    7:25 toasts
    7:30 B&G First Dance followed by special dances, and open dancing
    8:30 garter toss
    8:30-12:30 open dancing

    What tasks are the wedding party doing? you'd have to add those in depending on what tasks they are being assigned.

    I'm not sure how helpful our timeline was, as we had a ceremony and luncheon one day, and then an at-home reception with most of the traditional reception stuff three days later.  However, FWIW, our schedule for the wedding day was as follows:

    8:45 am –Brides, MOH, and dude of honor leave accommodations
    10:00 am –Arrive at synagogue; meet hair and make-up person; flowers to be delivered; each bride gets hair and make-up while the other one works with MOH on decorating the synagogue.  DOH goes off to buy challah for the blessing over bread.
    11:00 am –Photographer arrives; getting ready photos
    12:00 pm –Ceremony starts
    12:30 pm –Hamotzi (blessing over bread)
    12:45 pm –Formal photos with all guests
    1:45 pm –Leave synagogue
    2:00 pm –Arrive at restaurant for luncheon
    4:30 pm –Leave restaurant

    Three days later, our schedule for the at-home reception was as follows:

    8:00 pm – Reception starts; food available
    8:30 pm – Video of ceremony shown
    9:00 pm – Music starts; first dance
    9:05 pm – General dancing starts; photo area opens
    9:45 pm – Musician break; wedding toast and cake-cutting
    10:00 pm – Music and dancing resume
    10:45 pm – Musician break; cake served
    11:00 pm – Music and dancing resume
    12:00 am – Music and dancing end
    1:00 am – Reception ends
  • Ours was something like:

    8:00am - bride wakes up and showers (already at hotel where getting ready)
    8:30am - groom wakes up and drives dog to ILs, then heads to hotel with one groomsmen
    9:00am - makeup artist arrives
    9:30am - MOB arrives
    between 9:30 and 11 - rest of wedding party arrives at hotel and gets dressed and eats lunch
    10:00am- hair stylist arrives
    11:00am - photographer arrives
    11:00am - lunch delivered
    12:00pm - bride gets dressed
    12:30pm - limos arrive
    12:30pm - leave hotel for photo location
    1 - 3 - take photos
    3:00 - leave photo site for church
    4:00 - ceremony
    5:30 - a few more pictures at the church
    7:00 - cocktail hour begins
    8:00 wedding party introduced into main ballroom, first dance, toasts, and blessing before dinner
    somewhere around 9:30 or so we cut the cake and did the parents dances

  • How did you know how much time to allow for getting ready?  Our ceremony is at 6pm, and hair/makeup appts are at 1 & 2pm.  I'm not sure when I need to make sure the groom & gm show up.  How long do you think it takes all the guys to get ready? 
  • I am still trying to figure this out also.  I would like to do the majority of our pictures before the ceremony including the first look pictures with me and my fiance.  That way we can just get all of the wedding party shots done at once.  Then I will use the time after the ceremony to get all of the family photos done.  The salon said we would need 3 hours to get our hair and/or makeup done (for 7 people) and I am still trying to determine when I want the photographer to start because I get 6 hours with her.

    9am- Hair/makeup for all bridesmaids and bride at salon
    12pm- Get dressed
    1pm- First look pictures at the hotel
    1pm-3pm- Wedding party pictures in downtown
    3:30pm- ceremony
    4pm- family photos
    5pm- Bride and Groom arrive at reception

    I'm not sure of the order of events of the reception, but if I have my photographer start at 1pm, she will be done by 7pm so I will need to get the important things done like the first dance, cake cutting, tosses, etc before 7pm.  At the same time, though, if I want the "getting ready" pictures, I will need to somehow rearrange the photo time, or just hope that 2 hours before the ceremony is enough for all of the photos.

    Its kind of stressful trying to figure it out :(
