Hotel Block Questions

I'm not sure if this is an etiquette question or not... When are you supposed to book the hotel blocks? Are you supposed to reserve rooms at just one hotel or 2 or 3 so they can choose the money options for themselves? Also, do you book them before or after the save the dates? I keep hearing that they should be booked before the save the dates so you can include the info in the save the date. I've also heard you include it in the invite. Please help or please direct me to the proper board.

  • I blocked about 50 rooms off at the nicest (but still very inexpensive - about $79/night) hotel in the area about a year in advance. A few weeks ago I blocked about 10 rooms off at a nearby hotel that allows pets and has full kitchens. I incuded the information on our save the dates by saying something like, "Discounted rates have been negotiated for guests staying at XYZ hotel, for more information visit -our wedding website-"

  • It depends on your location, and what's happening there the weekend of your wedding. If there's going to be a large sports event, or a concert, you should book earlier. If nothing is happening, you can wait. 

    I blocked off rooms at two different hotels before my save the dates went out, so I could put the hotel information on my website. I had a lot of out of state guests. I booked two different hotels so that there was two different price options, but I also listed a few other hotels in the area on my website.

    Make sure you talk with the hotel so that there are no costs to you. Some hotels ask that you pay for any rooms in the block not booked by your guests by a specific date, while other hotels will just put those empty rooms back into the general public availability. 
  • We did our room blocks after the save the dates but before the invitations.  We picked 3 hotels at different price points.  We put that info on our wedding website and there will be a insert with the invitations with the hotel info.  Invitations are going out this week, and I think at this point maybe 10 people have already reserved rooms. 

    A lot could depend on your location and time of the year as to how far in advance you need to reserve the rooms.  Ours were done in February for our June wedding.

    Ditto PPs. My wedding is at a golf course affiliated with a casino. When we booked the wedding,  the coordinator directed us to the hotel coordinator and we blocked 20 rooms at 2 pricepoints right at the casino.  We sent that info with our save the date. Those rooms got booked faster than expected. Since our wedding is june 29th, and near the CT/RI shoreline, hotels in the area are running out of space, so we blocked at 2 more locations. Most guests live within an hour of the reception, but its late and near the casino...so I blocked lots of rooms! Sorry for  the long explanation, but its good to block more than needed. (as long as you are not responsible if they don't get booked). And, start early depending on the area and the season.
  • It's nice to have 2 different hotels for price options but you don't have to. I am not sure when is a good time really. We also booked ours in Feb for a June wedding and I actually wish we had booked earlier b/c the hotels we really wanted to booked didn't have any rooms available. We were able to get a block at our third choice hotel- not as nice as the others but still fine... and we were hoping to have blocks @ 2 hotels, but b/c of lack of availability we only have a block at one.

    As previous posters said, it depends on your location and when your wedding is. If you're having a wedding during spring break in South Beach, you would probably want to book that as early as possible but if it's not a popular vacation spot or there won't be a lot of weddings around there, it should be fine to wait a little. We had the hotel info on a seperate card with our wedding invite but some people asked about it early so I gave them the info via word of mouth.

  • Thank you so much for the great advice ladies! It really helps. Our wedding is toward the beginning of August of 2014 so I'm sure it will be busy. My goal now is to have it done by the end of January.
