I need a good, affordable caterer HELP!!!!

So my fiance and i have everything else book, the cake caterer, the dj, the venue, my dress. All I need is a caterer. We are on a tight budget since we are college students and paying for everything ourselves. Our budget is 1300 but we will go up to 1400 if we will get more bang for our buck. I am inviting maybe 100-110 people but we are telling caterers 85-95 guest will probably show, because what we have learned is you can always go up but you cant go back down. We also wanted to do a sit down dinner so it doesnt get crowed but that looks like its going to be so far out of our price range so we are just settling on a serviced buffet unless any of you know good ones that can do full service in our price range ha!! Sorry i had to laugh because everyone is quoting me 1700 and up just for a serviced buffet and that is just for 1 pasta 1 salad no sides (unless you count bread), no dessert, we dont get the left overs, and just tea. We don't need any china or that stuff we have that covered and they are still carging us that much. Is this what i am going to have to expect...do we need to rethink our budget for the whole thing? Be completely honest. To me besides the dress and the cake, the food is what the guests rememeber the most.

oh on a side note. We are about to hit our one year mark, does anyone know when we are supposed to be searching and blocking hotels and rooms for our OOT guest, my FI whole side except for a few are all coming in from out of town. Also do we have to pay something up front or....?????

    We're using 3 Doors Down and Around Town. Matt was very helpful in finding a budget friendly menu for us. We've been really pleased so far with his knowledge.

    My caterer is definitely in your price range. Her name is Phoebe and she is the owner of Dinner by Dezign. I'm doing 150 people for about $1200 and I am getting the following:

    To start off with:
    Salad, Two types of calzones

    Entrees:
    Fettucine Alfredo, Chicken Parmesan, Baked Ziti and Garlic Bread
    Strawberry Lemonade

    We are doing a serviced buffet. We did a tasting with her in April and booked her right on the spot because the food was delicious. She is super easy to work with and is so nice. She rents out a commerical kitchen so she doesn't have a lot of overhead and really had a passion for cooking. Let me know if you would like her contact info :)

    Say Whaaaaaaaatttt!!! Yah that's really good for 150 people!! I would definatly love her conatct info and her website(if she has one), also where is she based at. Our venue is in Hurst...so the biggest thing that has been costing us would be the delivery fee or even if they delivery to hurst. We live in North Arlington

    It's possible, but yes you should probably expect that most caterers will be well above your ideal budget.

    Just for comparison's sake:
    We went with an upscale restaurant that would cater just a chicken entree (plus sides) for $20pp. A serviced buffet would be an automatic $500 gratuity. For plated service, it would've been $1000. We also had to pay $3.25 per person for all the glasses, plates, forks, dishes for the buffet, etc. Then, there was a 20% service charge on top of THAT. So, it adds up really, really fast.

    But, I have heard Black Eyed Pea does catering with its entrees around 8-10pp. Since at 95 people you can only spend $13pp, that would hopefully give you enough wiggle room for any extra costs for plates/serving trays, service charge, and gratuity (sometimes the tip is built in, like it was in my case -- sometime's it's not. But you can't forget that extra cost!)

    For hotels, you do the hotel blocks whenever you think guests might want to start booking. It never hurts to do this in advance. Contact the hotels you like best (i.e., are close to your venue, at varying price points if you have budget-conscious guests, perhaps even try to find one that offers a shuttle). Ask them about blocking rooms. Usually, hotels will let you block 10 rooms at a time (sometimes you can ask for more) and they'll be held at your special discounted rate until 30 days prior to your event. If your guests don't book all 10 rooms -- no worries, they're just released to the general public to book.

    Some hotels do want you to sign a contract saying you'll pay X amount if all rooms aren't booked. I'd advise to stay away from anything like that. It's unecessary -- I blocked rooms at 3 hotels and none of them charged me a dime.

    Let your guests know -- on your wedding website or invitations -- that rooms have been blocked at X hotel for $$XX/night, if they call and give and mention your wedding. Make sure to mention when those blocks expire (I missed that last thing -- oops).

    If you're having your wedding in Hurst the Holiday Inn Express in Hurst off of 183 will shuttle guests. We have a block there and they are willing to shuttle guests to our reception in Colleyville.

    She had packages starting around $10 last time I looked. She includes real plates, silver ware and glasses. Something the BEP doesn't include. Also, her prices includes delivery, set-up, servers, bus service, clean up, gratuity, and tax. Tell her I that her June 5th bride says " Hey!" if you meet with her :)

    I used Black Eyed Pea for a school function and they were really reasonable. Also, I know a friend that had Olive Garden Cater their wedding and the food was GREAT and they had a fairly small budget.
