My vendor got fired three months before the wedding!!

This is my first time actually posting anything up here...I have been mostly easy going about planning, but I'm starting to freak out and I am in DESPERATE need of some encouraging words...

Okay, I have all my vendors set up, invitations ordered, all that good stuff.  Had my tasting a few months back, picked the menu and had a GREAT working relationship with the coordinator at the hotel.  Over the holidays, my mother and I emailed her our Hors d' oeuvre selection, only to get a email back stating that the coordinator "is no longer working" there!

The new coordinator just emailed us and all the information she has is incorrect: the food, the prices, the estimated prices on food(!), the items (candles, napkins, dance floor) included for free....this new coordinator claims she doesn't have any other information regarding these "promises" from our old vendor. What can I do? 

I'm trying to keep it together, but I feel like I have to start all over and replan this reception in 3 months! I'm having my first bridal freakout - could someone PLEASE calm me down??

  • Unfortunately, that's just how it goes.  We had our venue for one year of planning and in that time, I had 3 different coordinators!  What you need to do is schedule a meeting with the new coordinator and go in and go over everything you had originally set up and this time get it all in writing.  If you do have anything in writing already, take it in with you.  If this new coordinator says she won't honor what the original one told you, you need to move up the chain and speak with the manager.

  • Do you have anything in writing/email?  I tend to e-mail vendors and companies in general because I like to have something in writing just in case.  Speak to a manager if talking to her doesn't work, as they should want to please you by giving you what was originally promised rather than risking negative reviews.

    Yes, pretty much.  I'd approach it as "catching her up to speed" on what has happened in terms of planning and quotes for your event.  Obviously she wasn't in on the details for most of your planning, whether or not she is a new employee, and is probably a bit out of the loop.

    Maybe e-mail her ahead of time to let her know what the previous coordinator had offered you so that you have it in writing.  Meet in person to confirm those things if you want while discussing any other details about the wedding, and bring printouts of any e-mails or contracts that you have.
