Save the Date Dilema

Hi! I am getting married in August 2011 and plan to send out the save the dates soon with a card that indicates hotel the information.  The hotel told us last night that another couple blocked off a set of rooms for the same weekend. Therefore, we need to book fast to get rates and rooms.  How would you word it on the enclosure card that they should book quick before the new year even to be certain they get a room.

 I am going to message family members that are out of town ahead of the save the dates so they know the deal since it is family.  But, I just wasn't sure how to word it on the enclosure card.

  • I would just put the URL of your wedding website, and then store all of the other info (location, phone number of hotel, and deadline for booking) on the website. STDs don't usually contain so much detail.
  • I don't think it's right for the hotel to try and rush you.  It could be a scare tactic to get your people to book fast.  Typically they give you a deadline for your block rate and people have to book by then.  I would call the hotel and get that date, those rooms are yours at that rate until then.  Don't let them strong arm your guests into booking earlier then they feel comfortable. 
  • They did give us a date but they said basically if rooms aren't available when they call thats it.  My dad works for a different hotel and said that this makes sense.  I mean its mostly out of towners that we are concerned about...so i think emailing them separately makes sense...and maybe just adding a book by date on the guest information card.
  • My StDs were basically four pages -- four A2 sized cards. Page 1 was the typical text: Save the Date blah blah formal invitation to follow. Page 2 included info about the three major airports and a special rate w/ a rental car company. Page 3 was hotel info (I blocked at 2 hotels) and page 4 had a things to do while you're in town stuff for those that planned to stay longer.

    I got the idea from a catalog in a stationery shop -- it had way more information than mine, and had a spiral binding. I just used an eyelet!

  • I'm reminded of the Seinfeld episode where he's telling the girl at the car rental counter that she doesn't understand what reservations are for.

    If you've reserved a certain number of rooms, those rooms should be available only to your guests until a certain date (mine was July 17 for an Aug 14 wedding).  They shouldn't be able to be booked by other people.

  • I say straighten this out with your hotel first per comments by PPs.  Just include your website on the STD or at most just a small card listing hotel info - don't get into details there.  Spread via the website and word of mouth.
  • I will look into it but we are reserving 15 and if we are to open another 15 we need to guarantee that these 15 will be booked

  • I used to work in hotel sales, and our wedding courtesy blocks were the same. If you are not guaranteeing rooms to the hotel, then if the hotel sells out before your block does, they have no obligation to hold the rooms in your block. Of course this was never an issue at a hotel with 888 rooms, but if the hotel is on the small side, then two blocks might be a big deal for them.

    I suggest you include the information on your website, and also spread it by word of mouth for those that aren't so computer savvy.
