Most important jobs for a day coordinator

Hi All,
We have been struggling to find a day coordinator that is in our budget of $1000-1500. All the ones I have spoke to have been between $2500-4000. I emailed all of them yesterday asking if they would be able to customize a day coordination package that met our budgetary needs. All of them have agreed. Now, I am wondering, what do you guys think or have experienced are the most important parts/jobs that I will need my day coordinator to do on our wedding day?

Any tips would be appreciated.

  • Our current coordinator, Cherise of The Perfect Wedding entire process, not just dayof charged within your price range, at the time when we paid, which was just a couple months ago. However 2000 seems a bit steep just for dayof coordination, IMHO. The first fullservice coordinator we hired then fired charged 2500.   • Which island are you on?  My coordinator in Maui was not nearly that expensive and she was amazing - Cherise with Perfect Wedding Maui.

  • We are getting married in Oahu. I have contacted Milestone Weddings, Hawaii Weddings and Events, and Seasons of Life Events. All their day coordination packages started at 2000 and up, so now I am reinterviewing them all to see what they will include for my budget of 1000-1500... I feel like I have to pick and choose the most important aspects now, so just wanted some advice. Thanks for the tips! Wish your coordinator could come to Oahu!
  • I think the key is knowing who needs to be where AND communicating that to respective parties. Guests need to know where to go and when. Hopefully you'll do a run through of the ceremony, so you'll know how that's going to roll. Otherwise, filling you in on your/ wedding party cues.

    Contact Charmaine at Genesis Events & Weddings.  I was fortunate to get in on a "start-up" special (won't disclose amount because it's insanely low), but she has been fantastic to work with and is overseeing EVERYTHING for us on the day.  Even attending our rehearsal!  She and her partner will handle decorations (I'll be there initially to get started), meeting my caterer and cake delivery, making sure the ceremony is on track, helping with serving champagne and putting out the food, and making sure everything is cleaned up before departure.  They're even running the iPod for our ceremony music.  You can google her web address and let her know that I referred you.  She is the wife of a well-known photographer, so has been around the industry for a long time.

    Our wedding is in 18 days and I can let you know how it goes afterward.

    BTW, I'm a local resident, so probably have a lot more expectations than someone who is just traveling here.
  • We are getting married in Oahu and using Diana from Oahu Wedding, she is planning our entire wedding and she is charging us within your budget.  She has been fantastic and very helpful.
  • we used Hawaii Weddngs and Events for full service and they were amazing!      If I were to just to do day-of, I would say having coordinator on-site to make sure everything is set-up, all vendors are on-site, helping to direct guests, make sure timeline works, trouble shoot if needed, attending rehearsal and making sure everything is set-up.        Other than our final guest count, we were completely done with our planning one month prior to the wedding and didn't have to worry about anything except getting our marriage license when we arrived.

    We're on Oahu and using Kathe Garcia of Gayle Weddings and our budget was just around yours. I interviewed Carrie from Cherished in Hawaii Weddings and Diana of Oahu Wedding. They were all super friendly and helpful.

    Kathe and I just clicked the most over the phone and she was familiar with my venue. Since my ceremony is pretty much a blank slate, I needed someone to oversee decoration and set-up. I'm also a stickler for timeline management. Vendor management would also be important. 
  • Thanks for all the tips ladies! I will try contacting Oahu Wedding and Gayle weddings and see what their services/prices are like. All 3 of the coordinators I originally contacted have customized packages for me to fit my budget. Now it's just making a decision and picking one. 2 of the companies are very well known and have great reputations, the other one less well known but I clicked with the coordinator the best... So many decisions, so hard to choose. :-)
  • I am getting married soon and my coordinator is charging in your budget and she does high end weddings with a great creative eye. I think the most important duties of the day of is to make sure all vendors show up timely, make sure everything runs smoothly, and that all the people in the wedding know their positions and cues.  If you have not chose a coordinator yet please check out her website www.zenjuweddingsnevents.com

    I am a local bride so I was extremely picky with what I wanted because I know the island and businesses here all so well. She exceeded my expectations:)
