Room Block and Shuttle Information

Our hotel offers free shuttling to and from the recption site. Two questions:

1) Each shuttle holds 10 people, we will make four rounds of pick ups and drop off. For those of you who also offered shuttles. Did you worry about people not using them, or too many people using them? How did you figure this issue out?

2) Most important! I want to include this information on an enclosed card with the invitation. I am not sure how to word this information. Here's what I came up with, please let me know what you think because I need all the help I can get!

Group Name “___ Wedding”

 

A shuttle will be provided to the reception:

4:00 pm, 4:15 pm, 4:20 pm, 4:40 pm

 

Return shuttle to hotel:

  • I'm going to start with the wording - I think it reads a little choppy. This is how we worded ours:

    A block of rooms has been reserved at the following location
    Hotel Name
    Address
    Phone number
    Please reference the Bride-Groom Wedding when making your reservation

    We didn't include shuttle info on the insert, but put it on our website. This is how we worded it on our website and its similar to what we put on a card in our welcome baskets. It could go on the card as well, but I think that's alot of info for an invite insert:

    For your convenience, a free shuttle will provide guests with transportation to and from the reception. 
    Pick up times - 4:00, 4:15, 4:20, 4:40 
    Return time - 10:30, 11:00, 11:15, 11:30



    Regarding your first question: We waited to finalize how many shuttles were used until most of our out of town guests had booked the hotel. Some stayed elsewhere, and some stayed at the blocked hotel, so we had an idea of who was going to use the shuttle. I figure that most will take advantage of the shuttle. I know some guests will likely drive to the reception on their own, drink, and then take the shuttle back and get a ride with friends to their car in the morning, or take a cab there. That's what I expect of my college friends, but it could apply to some guests of yours as well. 

    Will those four rounds with 10 people each hold all of the guests that you expect to stay at the hotel, assuming all hotel guests use the shuttle? That's what I'd be concerned about.

Since we don't have a wedding website I would like it to be on the card even though you are right, it is a lot of information on one card. I will put it in the OOT Bags, but I want people to be able to plan further in advance.

     

    This is more or less what you typed, but does it sound better? Additionally, we are having an overly formal invitation. Should I worry about the times not being spelt out? Also should I include a reserve by this date note in there?

    Second Question:

     

    Since we don't have a website we have to plan ahead, which is difficult for the shuttle times. I need to finalze them the hotel, but if there is a change we could note it in the OOT Bags. Do you think that is a good comprise so I don't have to worry?
