Talk to me about hotel reservation blocks...

We're getting married at a really small hotel (18 rooms? And 4 of them go to us, as part of the package- the rest are available to people attending our wedding). The town is tiny, so no other hotels there. There's a larger town 15 min away that has hotels. I've started contacting them to reserve blocks. Only the first has gotten back to me so far, they can do 10 rooms. So that's 24 rooms. We're at roughly 110 on the guest list, not incl. kids (another half dozen or so). I think I calculated about 48 "units" of people (singles, couples, families) but I'll need to count again, it got confusing at the end (right, I know). Should I try to block out as many rooms as there are "units"? Or like 75%? Not sure all of the local people will want to stay the night (it's 1 hr 45 min from our town), but guessing most will. This is exploding my tiny brain. Thanks in advance.

  • We have 60 people coming to our wedding and we booked 7-8 rooms. You do not have to block rooms for every single person that is coming from OOT. A lot of people like to pick their hotel and what type of room they want. I would only book maybe 10-15 rooms and go from there. Just my personal opinion anyway.
  • I was wondering the same thing.

    We're expecting 250-300 guests. I have no clue how many rooms I should be blocking. We live in a resort area, and while we do have several hotels, most of them are not nice. The majority of people here rent beach cottages. I plan to block rooms at two hotels (one nice, one mid range) and also include info for the vacation rental companies as well as a couple B&B's.
  • Part of my concern (forgot to mention!) is that the larger town is pretty small too- and there is a winery right near by that has hugely popular big-name outdoor concerts through the beginning of October, which apparently causes every hotel room for a 25-mile radius to book up. Complicating. Won't know until the end of May if there will be a concert on that Saturday, but in years past, they usually do 2 September Saturday night concerts.

  • We blocked rooms 5 minutes from where we are getting married (higher price), and at two hotels about 10-15 minutes from where we are getting married.  Each place automatically did 10ish rooms.  It isn't necessary to block a lot of rooms but since you aren't paying for the block it IS nice to guesstimate a little bit higher.  Also, when blocking rooms:

    1. Ask the cut off date, how long are these rooms reserved for the guests to receive a discount before they go back into the general pricing? (usually about a month prior to the wedding)

    2. Ask if you can add rooms once a block is filled?

    The majority of our 150+ guest list is from out of town so I wanted to make sure they would have the option of a "cheaper" stay with a higher estimate of room blocks.  On our wedding website I also provided "other accommodations" which included any other area lodgings, B&Bs and so forth.  That way guests can make an informed decision.

    Lots of great info --- stuff i was wondering about myself! BUT -- how soon do you call the hotel and book these rooms!?!?

    <div>I did in December to ensure that they had rooms for that date (we live in a VERY touristy area).  Also, one of the hotels doesn't really do "blocks" they just have a discounted rate but then you run the risk of them running out of rooms.  I made sure to have all of the blocks and discounts set up so I could give that to my guests through our wedding website that was on the STDs.</div>
