Blocking hotel rooms

So I'm inviting about 156 people, and we're thinking most people will want a room (we're holding the ceremony and reception in a random spot: 45 mins from his hometown, an hour away from where we live, and pretty far from my hometown). Obviously, not every single person is going to want to stay, but how many rooms should I block? I know I definitely want to accommodate my OOT family and our bridal party, so that may be 20 or so right there. Should I do at least half of our guest list? Or is that way too much? Thanks! :)

Re: Blocking hotel rooms

  • I think half is way too many, but you also want to check into whether you're responsible for unbooked rooms, or if your guests don't get a discount if the number of blocked rooms isn't met, etc.The hotels I spoke to had a set number they usually put in a block--I think 10 and 15 was standard.
  • We're anticipating 150 people and blocked 20 rooms.  I'll let you know how it went in February.

  • I think 20 rooms should be plenty. Not everyone will stay at that hotel (well, my family all spread out over the area) or they might look for deals that are better than what you got the block for. You should be able to extend that block if needed, too. Make sure to ask the hotel.
  • I'm doing 15 rooms for a mostly oot guest list of 75, and I think that will be plenty.Almost all hotels will let you add more rooms to your block if it fills up, so just ask. Also, if you'll be responsible for a certain percentage of rooms, you might want to aim low.Parents and sometimes their kids (even adults kids) might want to share a room. Your WP might share if they aren't coming with dates. So keep that in mind.

  • I would run down your list and count the number of parties who will absolutely need a room (like folks from your hometown) and perhaps add a few extra for guests from closer in who don't care to drive after. Most hotels can take on extra people if space permits--there's no need to reserve a block for half your guests and have it not get filled.
