Dinner for my photographer/dj/videographer

We are providing dinner for our photographer/dj/videographer.  My question is, do they need seat at a table?  If yes, do I designate a table specifically for people we hired?  I'm confused!

  • I would assign a specific table for vendors.
  • I agree with Jen. We're just doing a vendor table.
  • You can do a vendor table but I would talk with your vendors first. Some have preferences on where they eat. Like DJs typically like to eat at their booths so they can still control the music. Others only take 15-30 minutes to eat and would rather sit off to the side or in another room.


  • I asked.  The DJ was fine with being at his spot.  The photographer said he was fine being included with the guests.  The photobooth chick stayed at the photobooth by choice as well.  

    I didn't do a seperate meal for them though.  I just included them.
  • I think you can also ask your venue if they have a "vendor meal" which is usually alot cheaper esp since they don't include the price of booze in the price
  • We had a small vendor table for the DOC, her assistant, the photographer and her assistant. The DJ ate at his booth.

  • Our photographers ate with our guests.  We had a small wedding (40), so only 5 tables and they're super good friends with my Brother and SIL since doing their wedding, so they all sat together and had a good time.  Ours is probably an little more unusual though than most

  • Our DJ prefered to eat at his booth.  Our only other vendors were our photographers, which we sat at a table with guests.
  • Our photographer, videographer and photobooth attendant sat at a table with guests.  We made sure the table wasn't too far away so that the photographer wouldn't miss any pictures of toasts during dinner.  The DJ preferred to sit at his booth.  All of them had a regular meal and I made sure no one had any food allergies. 

    Talk to your vendors and ask what they usually do.  I'm guessing your DJ will want to eat at his booth.
  • I only had two vendors at the reception. The photographer & DJ. I put them together at a table by the stage to make it easier for the DJ. It was also a perfect table to stick a few guests that I had to invite but there was no one to sit them with (spouse of a groomsman who is a ecentric and I'm putting that nicely)
  • Like many previous posters our DJ sat at the DJ booth and received a vendor meal, and our photographer asked to be seated at a table with guests and she was served the same meal as the guests. I would highly recommend seating your photographer close to the action instead of off in a corner or back room. Because our photographer was at a table with guests, she got some great candids of the people at her table (one of my bridesmaids, her family, and my MOH's family). She also was right there for pictures of toasts during dinner and didn't miss a thing.

    Ask and ensure that they are one of the first besides family to eat first. Reason being is if they get in line last that means you're giving them little to no time before festivities start up.

    Some venues actually have places for vendors. I'd first ask your venue if they offer vendor dinners (often they'll do it at discounted prices). As a photographer I've sat with guests, at vendor tables and under stages where all other vendors ate. I didn't mind the last one because it gave me 15 minutes to eat and gather myself. The unfortunate part was having our food served 5 minutes before everything started back up. That was a bit of poor planning and to me wasn't thoughtful to someone who's working 8+ hours.

    Also look at what each vendor does. A photographer you'll want to be close by to capture anything that may happen. It keeps them in the action, but you should also at least allow them those 15 minutes camera free to eat. Your DJ will likely want to be close to his/her booth for reception music while people eat and so they can be on the ball for when things start back up.
