Block rooms at hotel

Not sure if this is the board I should be posting on but ...

I'm looking into reserving a block of hotel rooms for my wedding. Everyone is coming from out of town (around 120 people). Would you recommend reserving at multiple hotels? And how many should I reserve?

Thanks!

Re: Block rooms at hotel

  • I would block rooms at maybe 2 hotels (or 3 would be okay) at different price points.  We did one block at Red Roof Inn for $129/night, and one at Hampton Inn & Suites for $169/night.  It really depends on your crowd though, as to what kind of price points you look at.

I would call around to some hotels and see if they require any sort of financial committment from you. Some hotels will give you a "Courtesy Block", meaning they'll hold 10-20 rooms for your group, but not hold you financially responsible for any rooms not booked. Other hotels will hold you financially responsible for a portion of the rooms (typically 80%).

Me, personally, I would book at one hotel that is central to my venue and has a reasonable price. It's really crappy when a person books 3-4 blocks at various hotels, and only 1 or 2 rooms are picked up at each. If you plan on doing gift bags, do you want to have to go to each hotel for just 1 or 2 guests?

ETA: If you do decide to block rooms at different hotels, I would make sure they are vastly different price points, like $99.00 vs $139.00. To me, $20-$30 difference isn't really that big of a deal, and if you only offered $149.00 to your guests, vs $129 & $149, most people would buck up and pay the $149. Or find a much cheaper hotel at another location.

  • I would offer two hotels that have different prices. Not everyone can afford the same price, so options are nice. That said you can always talk a hotel down price when you can assure them that x number of people will be staying there. My cousin was able to talk her way down by almost $100 and I got my hotel down by about $40.

  • How many hotels will depend on a couple of factors. How many guests do you plan on having? Do the hotels have shuttles? If so, what are their requirements in order to use the shuttles for free.?

For us, we didn't expect a ton of overnight guests so we decided booking more than hotel could potentially lead us to not mee the minumum requirements at either hotel in able to get the free shuttle. Again, it is a numbers game.
  • We thought about getting room blocks at two hotels, but in the end we decided to just get one. I didn't want to have to try to guess how many people would want to spend more or less when I was estimating numbers. Plus, I think it's more fun when everyone stays in the same hotel. Ours is a fairly small hotel and we have a large out of town guest list, and I totaly get warm fuzzies at the idea of everyone running into each other.
