Out of town guests.. and room blocking!

Hey everyone.. i was just wondering what the protocol is for blocking rooms at a hotel?

  • I've never done it before but I think when I do I'm just going to call around and see what kinds of deals they have. Most hotels will have a discounted rate if you book like, 10 rooms or something, plus maybe a free room for you and sometimes discounted or free shuttle service if your event isn't at the hotel. I'd call the hotel(s) you're looking at and ask them how much the rooms will cost for your guests, if you get a free room, if there is shuttle service (if interested), and what happens if you don't get the right amount of rooms booked. Keep in mind how many people you think will get a hotel room and what the cost is compared to other hotels in the area. No sense in blocking off 10 rooms at $200/night when there's another hotel with a normal rate of $150 or something.

    Once you figure out the hotel, you can get the word out via word of mouth and in your invitations. Make sure you give your guests the address and phone number of the hotel. If you have a wedding website, I'd put the cost on there - I'm not sure I've ever seen the price on an invitation insert.

  • It definitely helped ! Sometimes I feel out of the loop becuase my mom isn't interested in the planning, and my FI and I have no idea what to even do ! Our venue is also a hotel, and I know our guests get 50% off room rates the entire weekend. I guess I should just contact them and see what their procedure is for it? So lost ! but thanks for your response :)

  • My venue has an agreement with some of the hotel around it so they give discounts to people attending my wedding from out of town. You should check on that. Also, booking early can save a few bucks.

  • I had the same question! My family will be 2 hours from home and several have asked about hotels but I wasn't sure what other people were doing.
