Caterers for a 10,000 budget

We have set our sights on a venue ( thank you ladies!) but now we are having trouble finding an affordable caterer. We want a laid back, casual wedding ( tented or rustic barn perhaps) so anything from buffet style to stations of bbq, gourmet sanwiches, pasta, chicken etc. would work! Everything we find is $90 or more a head and with 85+ guests that is setting us up for over half our budget. Since we are most likely having a bare venue and will need everything from tables to a tent it is becoming overwhelming. Please help! THANK YOU. Any advice is welcomed.

  • Have you looked into Michael's Catering?  When we were looking at different venues we spoke with him - he had very reasonable prices, and had good references.  We ended up choosing a Country Club with their own catering, so we didn't use him, but he had great prices.

    Speak to Tom Devine of Ciao! Catering.  Not sure where you're located, but they travel a decent distance.  They catered our wedding and rehearsal dinner.  We came in well within your budget.  We had passed apps, a plated salad, buffet w/ filet mignon carved table side, mahi mahi, chicken, pasta, sides, homemade breads, etc.  They provided glassware and linens, set up and broke down the whole wedding, provided waitstaff and bartenders, etc.  He also provided lunch for the whole bridal party when we were getting ready at no additional cost.  Tom basically ran our whole wedding, and I felt completely at ease leaving it all in his hands.  With all of that we came in at $65pp including tax and staff fees.  We really couldn't find a caterer with comparable pricing and quality (and we interviewed a lot).  If you'd like to see our menu/quote, pm me with your email address.  It's for a few years ago, but it'll give you an idea at least.

    FYI, we had to provide everything for our venue too, and Tom made it very very easy.  He helped us find quite a few of our vendors.  Don't stress too much.  It's not as hard as it may seem right now.

  • I would suggest Emily's Catering out of Bristol. I am getting married at the Webb Barn in May and we are using Rick from Emily's/. Our menu is similiar to what you are looknig for, BBQ, corn bread, mac and cheese. The pricing we received from Rick is right around what you listed above, but you could definitely make it cheaper. I believe they let you buy the alcohol, which can save some money. And you can do limited appetizers to save money as well. We are spending more thn 50% of our budget on the food/bar, but think it will be worth it!! Good luck.
  • Yes! I agree, food & drink is really important to us as well. Thanks so much for the suggestion of Emily's . I envy the webb deane barn. We considered that but decided to stay closer to home so everyone didn't have to travel far and risk drinking and driving. We are providing transportation from home at our wedding since almost everyone lives in the town we are getting married in!

  • That is great that you are providnig transportation. That isn't in our budget, but thankfully not many people in my family drink. We will be providing informal transportation to the house we ret for the bridal party though. 

    Are you getting married at a venue or at your home? The Webb Barn is nice, but there are a lot of places that have a similar vibe. Location is so important!
  • We aren't getting married at home- id love that but neither my or my fiances families have the yard for that. We are debating between eugene oneill in waterford or a couple of places. We are budgeting out all our expenses and seeing what makes most sense and also trying to still do what we want ( rustic barn or rustic location).

  • I definitely second the recommendation for Emily's.  Rick was super easy to talk to and very flexible.  We paid around $60/person for food with an extremely extensive menu, but with service and such, it brought it up to around $115/person.  We had a very over-the-top and opulent menu - 8 passed appetizers (including lobster claws in drawn butter!), 5 live action dinner stations, a huge dessert buffet, etc.  I like how he breaks everything down, though.  You can clearly see where the money is going, and won't nickle-and-dime you.  Give him your budget, and let him know it's firm, and he'll definitely be able to work with it.  We also brought in our own booze - we paid a low per-head cost to use their liquor liability insurance, and we paid for their bartenders.  They did a fantastic job, and we had plenty of unopened bottles at the end of the night to return for money back.


    Also, it might be cheaper for you to price shop for tables/chairs rental.  That will save you money in the long run, though I know it's an extra vendor.  We price shopped - I'm not sure which part of Connecticut you are having your wedding, but there's a Rhode Island chair rental company that is SUPER cheap!  They also do uplighting, and probably do table rentals (we didn't need those).
