Venue Worries

Just needed to put my panic out there in an attempt to chill out about it...

Working til 5:30 today, so won't be able to call out to get this straightened out until then... but I got a voicemail on my cell from my reception venue... Apparently the coordinator we met with back when we booked the venue (back in January) is no longer working there.... So I got a call from the person replacing the coordinator, I guess.... First, she states that she had tried to get in touch with me a while back and hasn't heard anything from me (unless my cell phone magically stopped working and deleted her previous voice message, she's never called me before), so she already sounded annoyed... and now I'm in a panic because I'm going to be working with someone I've never even met! The contract I had signed back in January was very basic with the expectation that everything could be fleshed out later on, but we definitely had discussed some specifics that the last coordinator advised wouldn't be an issue (one example: FI has his heart set on a chocolate fountain.. and one reason we specifically booked this place was b/c they stated they would be able to provide this... but again, it wasn't specifically stated in the initial contract because that was just essentially to hold the day) 

Perhaps everything will work out and this new woman will be wonderful, but until I know that for sure, I'm freaking out..........!!!

    That sucks do you have any paper trail ie. emails about the things you discussed? That could definitely help when you are talking with the new coordinator. I would hope that your previous coordinator left notesGood luck! I'm sure everything will work out :

  • I'd for sure get her up to speed on what you guys want, especially since you said your contract was pretty basic. Also, I'd bring in any previous emails (or just forward to her) you had with the old coordinator.

  • Its actually not very uncommon for the coordinator to change. It is a stressful job and apparently has a high turnover rate. I wouldn't be overly concerned. However, I would make sure to call as soon as possible and set up a time to meet to discuss some of the important details. I do not think you'll have a problem getting the new coordinator on track with your wants and expectations.

  • Pretty much the same thing happened to us; but everyone that works at our venue has been very helpful and accomadating.  I'm sure you won't have a problem; don't stress yourself out :)

  • I agree that you should try to set up a time to meet with her and discuss your wants and needs. There's probably no reason to get stressed. :)
