Hotel Room Block Semi freak out

So we have 45 hotel rooms blocked for our wedding and so far 38 of them have been booked.  I just text my dad to book his room and my sister to book hers which leaves us with 5 rooms left.  I emailed the woman I am working with at the hotel to add more rooms and she said that they are sold out.  Our insert in the invites told people to book by July 6th which is 4 weeks away still.  I have no idea how many more people are going to book a room.  The woman at the hotel asked how many more rooms I will need so I said maybe 5?  How am I supposed to know how many people are going to stay over? 

There are other wedding blocks at the hotel as well so as their dates get closer they may release the rooms in their blocks which I am assuming is July 6th the same as me if we are all getting married on friday night.  So what do I do?  Should I start to call other hotels to see if I can get 10 more room blocks in the area?  The only trouble I will then run into is not having a shuttle service from that hotel.  The hotel we have a block at now included the shuttle for free.  I asked the woman to email me once all of the rooms are booked.  Should I just worry about it when the time comes that they are all booked?  Then I risk the other hotels in the area being booked.

  • I would book a hotel block somewhere else for 10-15 rooms and not tell anyone about it until you need it.  That way you have a backup for your stress levels but you won't have people all of a sudden going to that hotel and you have to figure out transportation and logistics like that. 
    I had a similar problem not even a week ago with my hotel saying there was only 15 rooms left in the entire hotel and noone from my BP had booked rooms or many of my guests! So I freaked out and booked a secret block of rooms elsewhere for my sanity/stress levels.  All my friends booked so I was wondering how many rooms I should have and I figured about 5 so I called the hotel yesterday and now they opened up 15 more rooms that night because they are undergoing some renovations! Stress levels increased for nothing! But at least I still have that other block for now until the original hotel opens up.

  • Ok I just emailed the hotel to see if they can recommend another one close by.  I think that they may have a sister hotel that we can use.  Which would be cool if they still gave us a free shuttle I am waiting to hear back from her.

  • yea ditto the others. We had the same thing happen, except as you guys might remember, our block was almost full before we even sent invites out. We arranged two additional room blocks each with like 5-10 rooms at hotels close by so that people had other options. I would just call around to some other nearby hotels and see what kind of luck you get. It's incredible how nice and helpful some group sales reps are at hotels, while some others SUCK. I booked blocks at the two hotels with the nicest group sales department, haha.

  • Thanks everyone I booked a block of 10 more rooms at their sister hotel as an emergency.  Hopefully we won't need them.  But good news is the shuttle from our current hotel will swing by and pick up people at the other hotel as well :)

  • I was having the same freak out last weekend.  Our wedding is 4 weeks from Saturday and there are no rooms left in our hotel block - 23 rooms booked - and the hotel is booked the weekend of our wedding.  The problem is that we need one more room (that we know of).  Tomorrow (one month before our wedding) is the day that more rooms from other blocks could potentially open up.  I've already told my fiance that he's in charge of calling first thing in the morning to find out if there are any available rooms.  What a pain!  We also have a similar shuttle issue and having to worry about two hotels (for shuttle, dropping off hotel bags, breakfast, etc) is more than I can handle right now.  Good luck with your block - I hope it all works out!
