Speaking of Hotels...

About how far out do you block off hotel rooms? Do you wait until you have a finalized guest list and then estimate about how many people whould need a room?

Also, if anyone has any recs for a hotel in the Nanuet/Spring Valley area I would appreciate it, or even right across the border in NJ.

The wedding will be in the Spring Valley/Suffern area.

    We made our room block in early November. (Seven months out) I wanted to put the info on the backs of our save the dates. I blocked 15 rooms. We used 8.

    You aren't going to know exactly how many people are going to book. You can get an estimate, but you will never know for sure.

    And besides, most hotels will set your block at 10- 15 -or 20 rooms, and when they fill up, will allow you to block off more.

    If you have a 150 person wedding, and assume half (75) will need a room, most hotels won't allow you to block off 40 rooms early on. They will probably suggest start with 20 and as people book, they will set aside more rooms for your group.

    If you have an idea, it's good. But I wouldn't wait. the last thing you want is to select a hotel and then when you get around to calling them, they have no rooms available to set aside as a block for your wedding.

    I don't remember when we set up our block, but probably 8 or 9 months in advance because we had the block set up when we sent out save the dates.

    We used the Comfort Inn in Nanuet and I highly recommend them. The rooms were very nice, and the suite we had was perfect. We actually attended a bridal show there just to see the rooms before we set up the block, so keep an eye out for that.

    As far as how many rooms, the lady at the hotel suggested 20, based on our guest list of 180-something. We ended up with 22 rooms or so booked i believe.

    We had our block info about a year ahead of time and sent it out with the save the dates about 10 months ahead.

    Hotels will usually do 15 - 20 rooms at time and then add more as the block fills up. Or at least, that's what the ones I'm using are doing.

    IMO, it can't hurt to block early - you may want to find out what else locally is going on that weekend in the area - i.e. any big events. I discovered Marsit and Vassar are both having their friends and family weekend so some places had no blocks available and I've urged the really OOT folks to book early in case the blocks fill. I then was able to add block info to web site, SADs, e-mail to those who either needed more time to plan due to vacation/distance.

    Unfortunately, unknown, to me at the time since I booked our wedding date almost 2 years in advance, our wedding weekend was the same  as West Points graduation. So i had to search high and low for a hotel block and beg for rooms, it alll worked out in the end. But it doesnt hurt to start looking and gathering your info ASAP!

    I am 7 months out so I definitely need to get going on this.

    KristinandDan- I have stayed there before and it is a nice place, I was also looking into the Hilton Garden Inn just up route 59 if possible. Does the Comfort Inn have a lounge/bar in it? I'm just thinking that after the wedding, people who are staying there may want to have an after-party type of thing. I called and left a message for the person who does block reservations but she won't be in until Monday.

    Also, I was wondering if any of you have used or could recommend some sort of small bus/shuttle companies in the area, because I'd like to be able to shuttle anyone staying at the hotel from the reception.

    Yes it does. It was newly renovated in late 2009. It was a nice little bar, and we were glad they kept it open for us - we were surprised by how many of our guests went  - I think it was just about every guest staying in the hotel - and we had a lot of fun.

    We booked them about 6 months in advance. I think it depends on the time period of your wedding. Certain times of the year might mean rooms will be blocked/booked because of another wedding, a school event (like prom/graduation/etc.), or conferences (which was what happened to us at one hotel we looked at...and we were in January!).
