Hotel rooms for OOT guests

How soon should you call the hotels around your venue to block off rooms for your OOT guests? We're getting married in March, so invitations won't go out until January, but we'll probably order them around the end of October or so. I wanted to send out hotel info with the invitations, but thought that was too soon to have rates included. When do you think I'll be able to get a block of rooms at a discounted rate for my guests?

My wedding is in April and I got mine this week. I would get it as soon as possible if you can. People tend to make travel reservations well in advance so they don't have to pay for everything all at one time.  There's no guarantee that your hotel of choice will be available by then either so i'd say the earlier the better.
BTW, I'm planning from oot, but I hear spring training takes place in AZ. Don't forget about that as well as the fact that its pretty much wedding season.  Hope this helps!Smile

I'm getting married in March as well, and we just signed our contract this week. You definitely don't want to wait until December/January to book, especially because it's high season and spring training. They will hold your rates until a month before your wedding.

Also, if you're sending out save-the-dates, consider putting the hotel information on your wedding website, and put the website on the STD, that way oot guests can find that information whenever they need it, instead of having to call you.

My wedding isn't until next June, and I already blocked hotel rooms since we're getting married in Sedona. Less hotels and options, and June is a high season for them. It's one of those things that I figure better safe than sorry.

We reserved our block almost immeadiately after signing our contract at our venue.  Our wedding is taking place in Downtown Phoenix and we wanted our OOT guests to be able to have the option to not rent a car.  The hotel didin't mind doing it 9 months in advance, and have been really great and communicative.

My wedding is in February and I started shopping last week and I am hoping to have one tied down by today or tomorrow.  I am a little late by most people's calculations, but I only need 8-10 rooms!

Thanks for the advice everyone!! I called this weekend and got a couple letters of intent at the hotels that provide shuttle service to our venue.  They will hold our rooms until about a month before our wedding - and we got some really good rates!

One more thing off my list - yay!!
