what to ask...

Hey guys i am meeting with the food and cupcake people tomorrow, are there any important things i should be asking them or to request of them?!!?

    If you cupcake person is separate from the caterer, definitely check on the delivery fee - that's something they are not always up front about -and can add at least $50 to your cost, if not more depending on how far they are traveling!

    Find out if you need to have people select a meal ahead of time or if they choose at the table, or however else you are handling that. How many appetizers you get.

    If they are providing wait service, how many waiters per person/table? And ALL the fees involved, including service charge, tip, tax, delivery. Those can add up to a lot more than the base price so keep it in mind early on.

    What is the cost for:
        2 meal options for guests
        3 meal options for guests

    Are there any meal upgrades? what is the cost?
    Are there any misc upgrades? what is the cost?
    How many guests per server? Are there a number of servers guaranteed?

    How many bars
    What does the open bar include (champagne, wine, mixed/frozen drinks)
    Is there of bar options
     Examples:
     No open bar
     Complimentary champagine for toast but no open bar
     Open bar for beer and non-alcohol, mixed drinks with a fee

    Can they accommodate if someone needs a vegetarian meal (do they have
    to know in advance)

    Minimum and Max guests
    Is there a minimum price we must meet?

    Is the cake included? Do you have options with fillings, decorations
    What are upgrade costs for the cake if we want it nicer than the basic one

    Can we bring an outside cake company if we want a cake from elsewhere?
    If so, do you charge a cutting fee? what is fee?

    When is the final head count due
    What is the cancellation policy (you never know)

    Will you have more than one wedding on the same day

    When do you come in to arrange your menu

    How much is tax on top of the price?

    Is gratuity included or will it cost extra? How much? Does the
    gratuity tip actually go to the servers? Can I get this in writing

    What is your overtime fee?

    Is there a cleanup fee? Do we clean up?

    For the cupcake vendor - ask about how they recommend displaying the cupcakes.  I assumed I would have the standard "cupcake tree" until my baker warned me that they can topple over very easily.  She recommended using a few different tiered stands, and they looked much more elegant than the tree (IMO).
