Hotel Block Issues

Alright so this is probably just me being overstressed and exhausted and its 10pm.  I called my hotel to check about who has made reservations, a whooping 5 guests so far! And then I booked mine, my parents, and my sister's rooms and now they only have 19 rooms left.  I have close to 30-40 groups of people left to book rooms.  I called the other hotel across the way and they are almost booked and won't allow any blocks.  The next closest hotel is at least 15 minutes away.  I have bus transportation to and from the one hotel but if I add a 2nd one that far away I will have to add a 2nd bus.  WWYD?

  • I voted for the first one, but could your hotel add more rooms to your block if needed? And I completely understand your frustration... we only have 8 rooms reserved so far but I know other people are going to end up staying. It's frustrating b/c we just booked the shuttle and I want to make sure it's worth it. We are definitely hoping for more people to book soon! I don't know why everyone waits until the last minute lol. GL and try not tostress too much about it!!

  • Oh no the problem is I can't block and claim them as ours unless I pay for them all right now which absolutely no way am I doing.  And they only have 19 rooms left in the whole hotel..... that is the prompting of the freak out.

    I emailed my wedding coordinator at the venue for ideas on area hotels as it is pretty rural and there isn't much else around.

  • Ohhh okay!! Ugh why do the hotels do stuff like this? It's so annoying. Do you have a wedding website? Can you maybe add something about the hotel booking up quickly to the accommodations page?

  • I had the opposite problem - our room block filled up before invites even went out!!!

    If I were you, I wouldn't stress for now. 19 rooms is a LOT of rooms. Lots of people will make their own arrangements, regardless of the blocks you provide.  Wait until there are only 5 rooms left, and then see if another block is needed.  I am going to guess that it will not be needed.  And if guests don't get a room because they miss the deadline, sorry, but it's their own fault! 
  • Yeah I think you gotta let this one go and hope people figure it out. It sounds like the only other option is to pay for another bus which I personally would not do.

  • Our room blocks are also full (except for the priciest one of the three) and I'm just letting it go. Ppl are grown ups and will figure it out. The way I look at it, providing room blocks and shuttle buses is a nice gesture, but by no means required. If ppl are slow to arrange their plans, you can't really do anything about that. Don't let it stress you!

  • Thanks girls! I'm going to wait and see how the weekend goes and check back with the hotel on Sunday afternoon about the rooms.  I definitely need to make a notation somewhere that the bus is only going to the hotel that we blocked on the website so people don't get confused.

  • Yeah, I'd just let the guests figure this one out. You've provided the information and have the rooms reserved. The rest is up to them.

  • It sounds like you need a little peace of mind before you can relax. Maybe you could shoot an email blast to let everyone know that there's x amount of rooms left and hotels in the area are booking up fast. I'm kind of in the same boat we have 27 rooms booked by our guests, the hotel has been released, the rooms are booking up and I'm guessing there's at least another 20 or so groups that still will need to reserve rooms. I've just been telling people by word of mouth and texting. Don't worry about it though. They're grown ups and will figure it out.
