Guest list size uncertain for reception

Backstory: FI & I are planning a DW.  We've talked about a few locations (namely Current River, MO and Gulf Coast Central FL) but we know it's not going to be at home.  We're not opposed to an AHR so we can see friends & family that can't/won't make the trip, but we don't want to get married AH.  

The problem is, I'm not sure what types of places I should be looking into for our reception.  I don't know if 10 people are going to show up or 100, and I don't know of many places that can accomodate that big of a difference in size.  I know you need to plan for the worst and hope for the best, but I also don't want to be stuck paying for a food & beverage minimum if hardly anyone comes.

  • Perhaps you should first establish who you absolutely want at your wedding. Then see which date(s) work out for those guests. From there I think you should start compiling your guest list further, then research venues. Find a venue that is large enough to accommodate your guest list because you definitely don't want to ask potential guests if they think they will attend. May give them false pre-tense if you end up not sending an invite. But also you want to ensure that the venue you end up choosing can accommodate all of your guests. There are a handful of venues I can think of (on Maui, where I'll be getting married) that can accommodate any size party from 2 to 200+. It's just a matter of making the space as intimate or accommodating as possible. I'm sure you will find something that suits your needs no matter the size. Hope that helps!

  • We have started thinking about this as well. The first thing we did was come up with a rough draft of who we would absolutely want there. We aren't extended it to family friends or 2nd cousins etc. Immediate family, and good friends only. We then came up with a budget that we thought was something we could save for, and decided on what kind of reception we could afford with that particular budget.

    For us, we want to keep it small and more cocktail style. We ideally want to find a space with outdoor accommodations as it is easier to deal with any size group. We plan on have plated appies, wine & beer and a large dessert table and starting around 7:30-8pm :)

  • We started getting the word around by asking our must have guests a) if they would attend a DW should we decide on one.  then we made our guest list, figured out if we can budget enough for that many people, made any necessary adjustments and then started looking at places that could fit apx 30 to 60 people comfortably that fell into the budget we planned.  We invited about 60 to 70 people and expect about 30 to 40 people there.
