Hotel info in Save the Date

I'll be sending out our STDs this week. After we set our wedding date, we learned that there will be a sports tournament in our city the same weekend. My fiance is really worried about there not being enough rooms for everyone that wants one.

I agreed with putting a note in the STDs recommending that rooms be booked as soon as possible. My fiance says this isn't 'forceful' enough. I think that once we encourage them to book rooms, its their own fault if they book too late and rooms are sold out.

What do you think? Is it ok to put such a note in the STDs?

  • What does your Fi recommend that would be more forceful than a note on the STD? We included a link to our website, and included information about hotels there. I think that's where a note would go including information about this event, and explaining this will cause rooms to sell out. I don't think you need to be more forceful than that.

    Yes, we have a block of about 10 rooms at the hotel we're recommending. Maybe we should enlarge the block/make another block at another hotel? 

    We aren't doing a website, so we can't put a note on there. 

     I just think its tacky to say "Rooms will be booked unless you reserve right now!"

    Just a little frustrated...

    A block of hotel rooms have been reserved at the XYZ Hotel in My City. To ensure availability, please make reservations as soon as possible, as rooms may fill quickly due to other events in the area.  Please call...

    I think its pretty clear.
  • I would definetely put the hotel block info on the STDs.  We're not doing a website either, but we did do room block info on the STDs that we're sending out next month since we have 90% OOT guests.

  • Our original wedding date was August 4.  After ordering our STDs, we found out there's a classic car show which draws something like 10,000 people to this small town.  I printed up an insert advising our guest of this and strongly recommending they book rooms at area hotels, which I listed with contact information.

    I also sent the STDs out about 8 months before the wedding.

    Maybe 10 guests got rooms.  When my mom called in January, she couldn't get a room.  

    We ended up having to move the wedding to August 18 and sending out a second round of STDs.

    I wouldn't recommend planning a wedding on a weekend when something "big" is happening if you have any concerns at all about there being enough rooms for your guests.

    People will not book their rooms well in advance.  Some simply can't, most just don't.
