Day of Coordinator

I am having my wedding at the Chapel of Flowers and my coordinator there is fantastic BUT....having an offsite photoshoot and reception and now I'm starting to think I might need a day of coordinator.

I have about 4.5 months left before the big day is it too late? Also any recommendations?

    CoolShouldn't be too late. Scheme is a popular one. I am sure VG has a list on his website.

  • Best money you will ever spend!  It was so nice being able to hand off that wedding binder and all the worries to my DOC.  I was truly able to enjoy every  minute of my wedding.

    I'm using Scheme as well.  I met with Rissa from Scheme in April and she is really organized.  You'll be in very good hands!

  • ok - I'm a total blonde.  What does a DOC do for you?  Wondering if I need one.

    Good question...

    A DOC is the person who is like your right hand man/woman the day of the wedding. The coordinate with all the vendors to make sure that everything flows. Guest aren't just standing around looking lost, asking questions. Vendors know where deliveres go and need to be set up. A DOC can assist during your Makeup and Hair time with coordinating other things so you can sit back and relax. Also can help get messages to the groom and groomsmen without you two having to see each other. Basically a personal assistant dedicated to making sure all you have to do is show up and relax. They are also critical with helping in cases of extra guest showing up, etc. I've done DOC myself before but won't dare try for myself! lol

    I was really impressed when I met with Rissa.  I thought we didn't need one, but after reading some reviews and meeting her, I am really glad we booked Scheme.

    We used Scheme.  Amongst other things I'm sure I've forgotten, they took care of the following for us:

    *) Contacted all vendors days in advance to confirm they knew when and where they needed to be.
    *) Had one person primarily in my suite and one in my wife's (FI at the time).  They had small radios with ear pieces they used to talk to each other, so they were always aware of where each of us were since we didn't want to see each other before the wedding.
    *) They took care of getting the clothing from one suite to the other since we had Fit For a Bride drop off all the dresses and tuxes in one location after they were pressed.
    *) They went and found someone to shine my shoes since I had forgotten to do that until about 60 minutes before ceremony time and they had been beat up by bouncing around in my luggage.
    *) They made sure the cake was dropped off at the reception venue and then inspected it.
    *) Made sure the floral showed up and then brought the bits and pieces each side of the wedding party needed in the respective suites.
    *) Ran back to my room to get the marriage license paper I forgot.
    *) Set up the table cards, guest gifts and guest book once the venue swapped all the furniture from ceremony to reception.
    *) They had a copy of the song list the DJ had to make sure the right things were being played at the right times.
    *) Got the microphone to the right people at the right time during speeches, and made sure no one else whom I didn't want giving speeches was able to lol.
    *) Filtered questions from vendors and the venue staff to me, or were often able to answer for me so we didn't have to be bothered over trivial things.

    It was such a relief to not have to worry about any of that crap on wedding day; made the day very enjoyable.

    I think having a DOC overall is a good way to make sure things are set up properly at the restaurant and get your vendors in line on the day of.

    That said, I did the minimum with Scheme but they didn't do a good job at all and wasn't worth it even after me subtracting the hour the DOC left early/went somewhere random for whatever reason.  Caused a lot of unnecessary problems and stress, and still never got a sincere apology from anyone for their mess-ups.

    Price-wise on VG's list Culinary Pros is cheaper and their reviews are just as good.

    I know that with all the positive Scheme reviews my day was probably a fluke, but after being told to take down my reviews on TK via e-mail (vendors don't need to be on the boards at all IMHO, especially to reply to posts) and basically the poor way they handled the aftermath I would not recommend them to anybody.  They still wanted me to pay the balance for time the DOC wasn't there until I threatened to report to the BBB.  All companies are good when things go good, but you can tell a good company from a bad one by how they react to mishaps and when things don't go well.

  • thanks again everyone! I really appreciate the honest feedback and did speak with Scheme. Their prices were a little high (for how small my wedding is seems like 1 coordinator would be enough?) but seems they may be worth it. I'm going to look into a few others as well! :))
