Venue just threw us a curve!

So, we called our venue yesterday to give them final headcount for June 7 wedding and see when we could get access to decorate.  Since it's a Friday wedding, we were told  last month that Thurs shouldn't be a problem.  Now they told us our room is booked until 5pm and we have an 8pm reception.  That's 3 hours!!!  They said 3 hrs for them to turn the room is no problem.  But - what about our vendors and our decorating?  She said we can bring it Thursday and they'll hang on to it and do it for us and that we should give them detailed notes on what we want where.  I'm really worried about this getting done and done the way we want it.   

Also, I have the DJ, baker and centerpieces from the florist, who I now have to tell them they have to go through downtown and the cut in the hill on the first Friday of June vacation with work traffic, vacation traffic and a Reds game at rush hour?  Are you kidding me?  What if they charge extra to do this?

Plus, we have a lot of our own decorating stuff that I'm worried about, including table overlays, a popcorn bar, cake pops (for escort cards), table numbers signage, uplights, etc. 

Ugh!  I can't believe they did this to us?  Has anyone else experienced this?  I would welcome any advice out there on how to handle this.  There's been a total change in personnel at this venue in the last few months and this isn't looking good.  I'm freaking out!

  • I would hire a day of coordinator and make sure he/she has detailed instructions on decorating and placement of items. 
    Visit the venue with them and do a walk thru with the DOC and the person who will be in charge of your wedding for the evening.  I know it's really late to find a DOC but since wedding is on a Friday, you might be able to find someone.
    Check with venue for names.

  • You have to remember these places are well staffed and know how to turn a room quickly.  I worked for a hotel, which did business meetings during the day and social events at night and believe me, three hours is plenty of time. Your vendors should have no trouble getting in and out in that amount of time.  I think you are worrying for no reason.    And in my honest opinion, a day of is a waste of money. 
  • Our was at the Cincy Art Museum so no vendor or anyone was allowed to set ANYTHING up before 5pm (because it's open to the public until then). They set the room up for our 6:30 ceremony in what seemed like 20 mins. Then they flipped it to reception space in no time. All the vendors knew the timelines and did their thing. Don't worry about it, I am sure they will get it done and I am sure your vendors will be ok too
