Hotel blocks

Can somebody please motivate me to call hotels for room blocks this weekend? I hate calling strangers. I tried to use one of the hotel's website forms, but I don't think it worked, because I never heard back. So calling it is...Also, anyone have any pointers on how many rooms to get? We have a guest list of 100 and half or more are coming from out of town. I'm going to try and make reservations at a nice hotel and a cheaper option. Then I have a fancy campsite rented out for about 12 guests and will put up links to other campsites for our more hardcore camping friends (6-8). I was thinking 8-10 rooms at both hotels. Is that too many? We're just at the Save the Date point, so I really don't know how many people to expect yet.

  • I'd say 8-10 at each hotel is a good starting point. You don't want to be locked in to too many, and most hotels will add to your block if you need more rooms. Just make sure you don't end up having to pay for unused rooms!

  • The hotel we booked at didn't go by the number of rooms, but by the number of "nights", meaning if someone booked for 2 nights, it counted as 2 towards our overall block total. We blocked 15 "nights" over the course of the weekend for our wedding. As FI and I will each need a room for the night before and 1 room the night of the wedding, that already takes care of 3 in our block. We know FI's father is definitely staying over and we have several guests coming from out of town (one from out of the country), plus the WP is all staying at least 1 night for each couple. We will fill our block fairly quickly. Just make sure they don't try to corner you into putting any money down or owing for rooms that don't get filled.

  • I've found most hotels only block 10-15 rooms and will add. Though if majority of your list is OOT, I would book enough rooms for alittle over 1/4 of your list. If you have 100 people and 50 are OOT, I'd book 30-35 rooms. That way there is enough for every OOT guest(figuring that some are couples/families and not 50 single people) and locals who want a night have that option.

  • Make sure that the hotel does not make you guarantee any certain number of rooms or room nights.  Most hotels just do a "courtesy block" with no obligation, but make sure that you double check before signing anything.

    Also don't be afraid to ask if wifi or breakfast can be included in the rate.  The worst they can say is no and they may say yes!
