XP: First Venue Visit

Hey ladies, I've posted this on the Reception board, but I like all of you and would welcome feedback from any of you as well!

My FI and I are going to visit our first potential venue tonight (YAY!), and are very hopeful. We love what we've seen online, so we're really hoping the venue will be just as great in person.

I have a number of questions that I want to ask, but am wondering if there are any questions that you wish you had asked your venue when you first went to check them out? Was there anything that came up later that you wish you had known about up front? Or any questions that you wouldn't have thought to ask until someone else told you to?

Any input would be appreciated!

  • Our venue told us that it seated a certain number. That number was actually for two separate rooms, not just the large main room. Luckily we didn't need to split people up, but that could have been an issue, so I'd confirm capacity numbers for each space and the style of seating.

    Ask what is included (chairs? what color and how many? Is there an additional charge if you need more? tablecloths? What colors and lengths? napkins? what colors?).

    Ask about time restrictions (we had to close the door at 10p so the music didn't drift over to the nearby houses). 

    Ask about onsite places to get ready, take pictures, store things before/after the wedding.
  • This below was my list of questions I asked every venue I spoke with.  Some of this may not apply to your situation and some may, our reception is at the church.  HTH

    Myself- Vegetarian and Lactose intolerant? Veggie option? Extra cost? Other dietary issues?

    Min/max # of guest? Min. spending amt?

    Who is there the day of? Their role? Anyone else?

    Bathrooms # and location?

    Events per night/per day?

    Vendor recco’s? Can we only work with certain vendors?

    Viennese Table? Cost? Mashed Potato Bar? Cost?  Add ons or take aways from price per person?

    Area off limits? Private area for bridal party to freshen up?

    Fees for smoking or clean up?

    Fees for them to decorate? Any not allowed? ( like candles?)

    When can we arrive( bridal party)?  When can vendors arrive?

    Cocktail hour location? If it rains?

    Cake cutting fee? Baker? In house? Can we go to any vendor?

    Tasting before booking?  Tasting after booking?

    Sound system for dj/band?

    Times for evening reception? # of hrs? Noise/music restrictions?

    Location of bar, dance floor?

    Uplighting?( can we do this)

    Do you have liability insurance? Do I need any? Does each vendor need any?

    # bartenders? Fee? Liquor license? Corkage fees? Bar available the entire time of reception?

    # servers per guest

    Vendor meals? Kids meals (ages)? costs?

    Bathroom baskets ok? Restrictions?

    Can pictures be taken on the grounds? Fees for this?

    Payment schedule? When and how much and in what forms?

    Number of weddings/events at a time? Separate areas? Separate bathrooms?

  • @Peaseblossom55's list is pretty comprehensive! I'd go with that.

    The only other thing you might ask is what to expect with the grounds seasonally. Our venue had a lot of beautiful gardens and we wanted to be sure to choose a date near the peak of their blooms where we'd be able to use them for our photos. I know some venues decorate for various holidays/seasons...so if it's important to you, you might check on that.

  • I thought it was really sketch when venues wouldn't provide me with a sample contract.  There were a few, and i was like "reeeeeally?!" and we didn't go with them.

    Also, when you do pick a venue, make sure everything you discussed in your meeting (that's important to you) is in writing.  We were supposed to be the only wedding at our venue but it wasn't in our contract - there was a smaller wedding there too...and they totally got shafted cause our wedding was bigger and came first, but their florist tried to deliver their flowers to us, same with their cake.  It was kinda hilarious.
    I guess, to tell you the truth, I've never had much of a desire to grow facial hair. I think I've managed to play quarterback just fine without a mustache. - Peyton
  • Someone recommended to ask if there were any projects in the near future, projects that might change the look of the venue or new landscaping projects that might be going on during your wedding :-) Good luck! FI and I are starting to look at venues this month too! It's so exciting!!
  • Do you have anyone in a wheelchair who is invited to your wedding? If so, be sure to ask if the facilities are 100% ADA accessible and actually check for yourself. FI and I found two venues we really liked that didn't mean that qualification :(

  • @Peaseblossom55 would you mind if I hit you up for those lists as well? Your list got me to ask a few things that wouldn't have even crossed my mind! and YAY your wedding is so soon!

    @psychbabe314 I didn't ask this (didn't see your message before I went!) but luckily she told us that they're repairing some of the floors this summer, and they're going to be re-doing some of the landscaping since they lost a lot of trees and shrubs after the winter. Luckily it wouldn't be stuff that we could see, but I'm glad we know about it.

    I have a few follow up questions that I forgot about, but we need to get in touch with the sales/booking woman anyways, so I'm going to make sure I get those answered before we decide.
