Venue coordinator issues

Hey fiance's! I just need to vent right now. I am having issues with my venue coordinator. I am getting a great deal on this place but the coordinator takes almost a week to respond to my emails. I am trying to sign this contract and give her a deposit but I don't feel comfortable till I get answers to all my questions. And I have a lot of questions about the contract since the contract is so vague. She said closer to the wedding day we will get a different, more in depth contract. Is the same thing happening with anyone else?! I am hoping someone else doesn't come in and take our date. It is true what they say, the venue is the hardest part about wedding planning. :(

I do not even know what that means?

I think I would be running away from this place.

That seems really fishy..... I would stay away. Sounds like they want to take more money from you.
  • I mean the contract talks about the do's and dont's. And right now it has a minimum of 50 guests but they said if i end up with more people then they will add it to the new contract. And the exact food price isn't on the contract yet it just has the total price of food for 50 people.
  • If I wasn't getting straight answers or my questions being answered right away, I would find a new venue.  I never heard of getting a new "in depth" contract closer to the wedding date.

  • She wants you to sign the vague contract but then later you'll get a different contract? NOPE! Nope nope nope nope nope. Do not sign that thing. Don't do it. Run away.

  • Yeah, I would definitely not sign a contract and then sign a second one later. What if the one later has really shitty clauses or something?

that is not unusual.    The venue will ask for a guarantee.  That guarantee can be more than the minimum.  For example, if you have 100 people RSVP yes. They are going to make you pay for the 100 even if only 50 people show up.  They have invested in time and money making the food, added staff, etc.  They are not going to eat those costs because people didn't show up.

  • If  are having problems getting your questions answered before you give them any money, imagine how hard it will be to have your questions or concerns answered AFTER you give them money.  I would be running away from this place!

If you only have 50 people, you could probably also look into restaurants that have private dining rooms.

  • So I will say if the only thing about the contract that is "vague" is the numbers you might be ok.

Our contract was written up for 100 people and the price for those 100 people is on the contract in black and white. ALSO on the contract is the price per person ABOVE 100. We are planning for 225 or so. The contract was written for 100 to provide us flexibility. We are locked in to paying the contract as we signed it. (AKA for 100 people)

    BUT

We give final numbers 15 days before the event. At that time, if we have more than 100, which we obviously will, we pay the price per head multiplied by the number over 100.

This is not a big deal in my opinion and my coordinator (independent not venue) said this was pretty standard. Not reading your contract I could not tell you what was what. But if there is a big contract later I would want to see that one ASAP.

This is similar to how our catering contract worked as well.

What else about your contract is vague? What are all the details that will be added later? Some vagueness is totally unacceptable.

For example, I signed a contract to rent vintage couches for my wedding. The original contract stated something like "If the specific couch you chose is not available due to circumstances beyond our control, we will bring a suitable replacement instead." Um.. what is "suitable replacement?" Will you be replacing my blue couch with a teal couch, or will you be replacing my blue couch with a kitchen table? I made him re-write that clause to specify the definition of "suitable replacement." That's the kind of stuff you need to watch out for.

Red flag city. You could sign this "pre-contract" thing and then get the second "more in depth" contract with some seriously BS terms. In fact, it wouldn't surprise me. I have about ten vendors for my wedding and it's been one contract, plus a deposit, boom boom done. No surprises. I would tell your venue contact that you need to see the "more in depth" contract now and you will sign that one... or don't sign anything at all (possibly your better option). Good luck!

If it seems too good to be true then it probably is. Echoing pp's, don't sign anything until you see the "in-depth" contract.
