Hotel Blocks

Can someone help me understand how to even approach this "to-do?"

I was thinking of putting the FI on it, but don't even think I know what needs to be done.  I would say we have up to 92 guests coming from OOT that likely will stay at a hotel.  How do you normally book the blocks?  What if they don't fill up all the way?  And how do you negotiate for a good rate (is it pretty standardized)?

Also our wedding is in Newcastle, so I'm debating whether it is more important that OOT guests experience Seattle itself, or have a closer drive to a hotel in Bellevue...

    Contact the Seattle Convention and Visitor's Bureau - here's a link to their submission form:  http://www.visitseattle.org/About-Us/Contact-Us.aspx

    They asked us a few questions and were able to determine a few hotels to put us into contact with - they made it really easy.  Good luck!

    I just contacted the hotels I was interested in directly. They shouldn't charge you for the rooms that don't get booked because whatever rooms that aren't sold 30 days prior to wedding date they re release and are then fair game. I got a tiny discount but nothing spectacular but I think it depends on the hotel.

    Ditto PPs.  Make sure they do not charge an attrition rate, that they do not charge you ANYTHING if all the rooms you request do not get booked.  They should have a "release date" when rooms will get released and open to the public, usually a week or two before the wedding.

    I contacted the visitor's bureau but they actually weren't much help.  All of the hotels that they put me in touch with had attrition clauses.  I decided to setup the block on my own using the hotel closest to the venue.  I negotiated a slight discount and no attrition.

    I had the same dilemma about "Seattle" vs. close to venue.  I decided to just list a few other options on our guest website that were downtown but we didn't setup blocks there.

    I contacted the visitor's bureau AND called/emailed hotels directly.  (W Hotel gave a really great rate, but wasn't one of the hotels that worked with the Visitor's Bureau)

    It's also helpful to know if the rates can be extended a few days before or a few days after.

    Do you mind me asking what rate you got at the W?  I have heard Seattle will be more expensive than Bellevue, but if I'm negotiating I'm interested to hear what rates others have gotten in the past.
