I have 2 photographers and 2 djs...I think they would be the only vendors I need to provide a meal for? ...do I plan on a separate table for them? where do they normally eat?
I would check with your venue, I'm sure they have a place where vendors should be able to sit and eat. Otherwise, I would see if you could put a table near the DJ booth or to the side of it so they can sit and eat but they aren't too far away. Same for the photographer. I don't think they'll want to be taking many pictures while people are eating, but this way they are ready to go if something happens that they want to capture.
I would ask them. My DJ said he would eat at his station. I can't remember if our photographers ate at the high top tables or in the back? I do know they requested NOT to be sat at a guest table.
What differentiates an average host and a great host is anticipating unexpressed needs and wants of their guests. Just because the want/need is not expressed, doesn't mean it wouldn't be appreciated.
Check your contracts -- they might specify. My photographer stated in the contract that they needed to be seated with guests in order to guarantee photo coverage of any events during the meal, such as toasts.
If you have a venue that only allows preferred vendors, the venue might have a separate space for them to eat, such as a conference room nearby. Check with venue first, contracts next then approach the vendor themselves is how I would go about finding out.
I put my vendors at a table next to the stage where the DJ was set up. This way he could sit & eat but be close to his equipment. I put the photographer with him too. There were a few guests at the table too that didn't fit at other tables (they didn't fit because they had light sensitivity so I put them next/behind the lights from the DJ).
