How does a room block work?

I am having my ceremony and reception at a golf resort and I have a 30 room block at the resort for my guests. I also want to put information on my website for another local hotel that I would reccommend.. If the hotel offers me a 15 room block does that mean I have to guarantee that 15 rooms will be booked under my wedding party? I really have no idea how many people would want to stay there. My main concern is that I would be penalized if lets say only 5 people book there.

  • It depends upon the hotel. Some hotels let you block 15 rooms for no charge- just your guests pay when they book a room. Any rooms left when there's only 2 weeks or 3 weeks left until your wedding go back to the public, and anyone can rent them.

Other hotels ask you to cover the price of the rooms, so if you reserve 15 rooms but only 5 are booked by your guests, you might have to pay for the other 10 rooms even if no one uses them.

All you can do is call the hotel and ask. Make sure there's no charge if the rooms don't get booked. Figure out when the rooms go back to the public. Let your guests know when they need to book a room.
  • I found that each hotel is different and with the hotels I did rooms blocks with, there was a contract that specified all this.  How many rooms were in a block, when they would be released, if I decided not to release them at that date then I was responsible for those rooms, etc.
  • definitely varies; we reserved blocks at three different hotels so there were different price points, and at all of them we are not responsible for rooms not booked.  One hotel will release un-booked rooms a month before he wedding, the other two release at 2 weeks prior.
