August 2012 Weddings

Well I was relatively stress free :S

So when we first got engaged I wanted to get the big stuff out of the way and I wanted to book early so I would get who I wanted and knew was the best; photographer, catering and location. And I suceeded! Well my caterer is also the place I will be renting all the equiptment from too (tables, chair linens) which is great one last place to hunt down and they were voted the #1 rental/catering place in Michigan in 2011. So the woman I talked to was really nice and we got everything squared away, I told her we wouldn't be able to meet and would only be communicating by email which she said was fine because basically all their weddings are destination. 

Fast forward 10 months.

Now she seems to be annoyed when I email her and maybe like a fool I trusted her with the tent and dance floor sizes, because you know she does this for a living. I have been thinking for a while now the dance floor is way to big and I did some research and it is. She has it booked for 20x20... there is only 100 people coming to the wedding, so with a floor that big basically everybody coming can fit on it at once... which is way more than the estimated 33% that they say to guess will be on at one time. Well then I started researching tent sizes, we have a 30x45 tent, which according to basically every tent rental site ever who have calculators say that we need AT LEAST a 40x60.... so now I'm freaking out because obviously the tent we have is way to small and my contact is hard to get ahold of and I think is getting annoyed with my emails. I'm sorry but 2 weeks before my wedding I'm allowed to freak out a little. Oh and on top of everything they are a no contract place so the only "contract" we have is through our emails. It's just so scary and frustrating and I thought I didn't really have a whole hell of a lot to worry about from here on out.... my FI is calling her today while I'm at work to hopefully get some of these issues taken care of. Cross your fingers everyone, I think I'm going to give myself a panic attack!

  • From what I understand from researching contracts. "No contract" places make me nervous too. If there is an offer: "I'll rent you this tent for $500" + an acceptance: "I agree" + you pay them some sort of deposit then you have a contract even though its not a formalized writing. So just keep your emails and you'll be fine. As for the sizes, I know nothing of tents, sorry. But our dance floor is 18x18 and we're planning for 80-100. So I think its fine. I would jokingly tell them in the email that you're sorry if they're irritated by all your emails but theyll be rid of you soon enough.

  • Hi there. I would def. downsize your dance floor. Ours is 15x18 and we will have closer to 200 people at our tent reception. I would just keep calling and ask to speak to people higher on the ladder every day until this is resolved.


    *Our tent is 40x100 and we were told it will fit 220 max, so since we have less people, we aren't going to put tables very close to the dance floor and some people can just dance in the grass at times. We've been to numerous weddings where that has worked fine.

  • I can see that being scary and stressful. I would've had a contract with the lady but you know, would've, should've and could've are relatviely useless at this point.

    You best bet is to keep bugging them and ask them for personal #s so you can call. The best thing to do is to talk to them and discuss your concerns. Rentals can be exchanged quickly if they are a big company.
