DJ Issues.... Cancelled a month out! (vent)

I am slightly panicking. I keep saying "this is what happens when you tell everyone what a breeze wedding planning has been!" I definitely jynxed myself :S

My wedding package through my venue includes a DJ. The venue has several DJ's they hire for events, and they organize all of that on their end. Well, Sunday night I got an email from my DJ (also sent to the site coordinator at my venue) saying that he just realized he had double booked the 28th of July, and was bound by contract to this other event, so had to cancel for my wedding. 

I don't know whether he was also bound by contract to my wedding, because the venue is the one that organizes that, but I am completely at a loss as to how he let this happen. Does he not have a calendar to check when he books his events? And now it is one month away from the wedding and we don't have a DJ.

I know it's not my problem to deal with. The site coordinator will have to find a new DJ, because it is a part of my wedding package that I have booked. But my concern is, what kind of DJ is going to be left unbooked at this point? I feel like we're going to end up either with a crappy DJ no one wants, or an amateur DJ with very little experience...

It just sucks because the DJ/music is hands down (in my opinion) the most important factor in whether it'll be a good party or not. The site coordinator works Tuesday to Saturday so I will be calling her tomorrow to get some answers but right now I am feeling pretty stressed out!

  • That totally sucks, but take a deep breath, it'll all work out. You venue has probably dealt with this before and will know what to do. Plus with being in the business they probably have a lot of contacts and will find someone great for you.

  • Oh no, I'm sorry! I would be annoyed, too. His story sounds fishy... but at least you are finding out now, and not in a month!

    Your venue should still be able to find someone well qualified at this point. My DJ company has a system in place to pull other DJs in when one has a last minute emergency. I would bet your venue has something like that as well.

  • I would definitely contact your venue coordinator and ask to review and have some input on who your new DJ will be.  I would definitely be wanting some answers as to why he doesn't have a bound contract with the venue as well.

  • Oh no! So sorry you have to deal with this so close to the wedding. The venue probably has DJ's who are "on call" for cases like this. I agree with the PP who said that you should ask for some input. Deep breath. Everything will work out!

  • I agree with PPs that this is your venue's problem and I'm sure they will figure it out.

    Relating to your concern that all the good Djs will be booked by this point- I think you can find someone good, if it's their part time job. Full-time DJs will probably be booked because they need the income.  Our DJ is a radio DJ during the week, so he only does about 4 weddings a month because otherwise his wife gets upset that he isn't home on the weekends.  Maybe you can see if any of the radio or club DJs in your area would be willing to do your wedding?

  • Oh my gosh!! I really hope it works out :( the venue had better come up with someone just as good!!

    I simply do not understand double booking. SURELY these people have calendars where they pencil in all of their appts. Not hard!!

  • Oh my goodness. I would be freaking out! But, the good news is, I agree with PPs - they will be able to find someone good, even a month out. A lot of companies have a billion DJs that they work with, so you should be ok. Maybe ask for a demo tape of the DJ that they select prior to the wedding? Or, maybe ask for a time when the DJ is playing at a club/venue at some point over the next month? That way, you can rest assured that you like his style and, if not, you can either work with him to play more stuff you DO like, or you can have them find someone else?

  • Thanks everyone! You're right, I'm sure it will be fine. My venue has been great and they do big events all the time, so I'm sure they have encountered issues like this before and have backup plans.
    I alternate between thinking everything will be ok, feeling really stressed, and feeling really angry at this idiot DJ, but the calm feeling is winning out today!
