Guest Transportation Issues

We are offering our guests complimentary transportation from the hotel to the venue and back at the end of the night. The issue is that we have to have an idea of how many people plan to use this transportation. I worry that if we don't, then we'll either be renting too big or small of a vehicle. Has anyone had a similar issue? How did you handle it? Or, how would you handle it?

Some ideas I've had have been to use some space on our enclosure card to ask guests to make a note on their RSVP card if they plan to use the transportation. Another idea has been to put a line on the reverse side of the RSVP card so guests just have to check if they're interested. We asked guests on our wedding website to email us if interested and to date, not many have. I've been sitting on this issue for weeks and I'm still at a loss. Maybe I'm reading too much into it. I just want to order the invites already!

Re: Guest Transportation Issues

  • How many people is your wedding?

How many rooms did you set aside in your block?

What # of guests do you expect to stay at the hotel?

How far is your hotel from reception venue?

We're inviting about 75 or so. We have about 40 rooms blocked between the two hotels, so plenty of space there, we just wanted to give guests options between the price points and their preference. We also expect most of our guests to use the transportation since other than a handful of local couples, the rest of the guest list is OOT. The venue is about 25 minutes or so away from the hotels.

  • Hmmm... well I was going to say if it was close it could easily do 2 trips, but 25 mins is a bit far so I would try to book transportation that could take just one trip. I would probably try and get 2 24 person buses. Just my guess.

Maybe send out an email since people aren't checking the wedding website?  <--- that is really my pet peeve. Everyone keeps asking me questions and I respond "Its on the website" which was on our STDs and they all seem shocked and never knew. Very annoying since I spent a lot of time on it. Oh well.

Totally has been happening to me.... I even sent out a letter right before invites to make sure they know where to look for info. I'm having a DW, but ppl kept asking about where to look for hotels and other info. I made sure they knew how to find it :-)
