Outdoor Weddings

Outdoor tent reception. Who does what?

I'm planning on having an outdoor wedding and a reception under a tent in a park. Question is, who does all of the clean up? Does the rental company come and break everything down, and who takes care of all of the decorations and everything else. Thanks ladies....and happy planning!!!!!!

  • I am planning on doing the same! We're getting married in Chicago and the clean-up and break down is included in the cost.  I think it depends on who you rent from.

  • When you contract with the park it will generally have rules & regulations about things like set up, clean up, alcohol, etc. detailed in the contract. Not sure how much you've looked into this yet, but make sure you find out about access to the park and the rules and regulations. If it's a park owned by a city or township, they will definitely have rules.  

    It's my experience that the tent company will set up and take down the tent, that is all. I'm assuming you are also getting tables & chairs, linens, etc, unless you are using picnic tables already on site. I'm assuming you will also have a caterer or someone bringing food, drinks, ice, plates, etc. There is a lot to organize.  

    If you have not looked into it yet I'd recommend contracting with a DOC (Day of Coordinator). Hiring someone just for the day of the wedding to coordinate all your vendors, and do the set up and clean up is well worth it. This is not a full fledged Wedding Planner. Most geographic areas have DOC's you can meet with once or twice, have unlimited email activity with, and they are generally there for up to 8 hrs on the day of your wedding. Depending on the geographic area it can cost $350-$800.

  • Oh, girl, get a DOC.  They are amazing.  It's especially important to have one if you're not getting married at a traditional venue that comes equipped with its own coordinator.  They are just there to take care of loose ends like that so you don't have to worry about it.  Peace of mind=priceless. 
  • I definitely recommend getting a DOC! We're having an outdoor wedding in the gardens of a small historical museum, and all of the help our DOC has given has been amazing! She's worked at this venue before, knows what works and what doesn't, plus she really is helping keep all the vendors on top of stuff. She's a little pricey compared to what I've seen here (but that's the San Francisco area in general anyway) but worth every penny!
