Room Blocks

How do they work? I have been to weddings before where the reception was in the ballroom of a hotel and they hotel worked in conjunction with the events department. But I am not getting married at a hotel. Do I make a reservation? Do I pay for it? Is it a discounted rate? Im confused and my guests are begining to ask where they should stay.

  • If you want to set up a room block for your guests (usually around 10 rooms to start) contact hotels that are close to your venue. See what rates they will offer you and what the attrition is (this is what they will hold you responsible for if you do not fill those 10 rooms) ideally you want a "courtesy" block with no attrition, but I found those difficult to find in Miami. One of the hotels I used required a fully refundable $500 deposit the only reason they wouldn't refund it is if I canceled the block (hotels hate cancellations). One of the perks of a room block is that hotels are usually more likely to hand out welcome bags for free (if you have them) if you have a group block set up with them.

    If you don't want to create a room block then just direct your guests to the closest hotels of your venue and let them fend for themselves.

    Additionally, some hotels will set up a discounted rate- you are not locked into any number of rooms or deposit, but you are also not guaranteed they will have enough rooms for every guest. The rate is usually 15% and will be based on whatever the going rate is when your guest books, so if the room price goes up, your guests will be paying a higher rate for their room.

    I've stayed in all of them and they are very nice, good locations and friendly staff. I'm a Hilton Honors Member, so the hotels are Hampton Inns because those are the Hilton hotels with breakfast included and everybody likes some breakfast! :)
