How to handle very small group of guests that needs shuttle?

My wedding is at the Inn at St Johns, but I have about 12-15 guests staying at a hotel about a mile away (Hilton Garden Inn Plymouth). When I booked the room block for the Hilton, they told us if we reserved 10 rooms, they would do a complimentary shuttle - but we're not going to have 10 rooms (a lot more nos than we originally anticipated).

Has anyone been in a similar situation where you were planning on using a complimentary shuttle but then don't hit the requirements for it?

I'm wondering if hotels would still do it, if so, what they might charge, or what other options I should think about for getting these guests back to their hotel. I feel responsible for providing them transportation since I mentioned it initially to them... but have no idea how to handle such a small group (could we do a series of town cars for a few hours versus a full shuttle?)

Any thoughts would be great!

  • I agree, talk to the hotel, see if it is possible for you to pay for the shuttle since you did not get the 10 rooms necessary.  There are also other options as far as shuttle services that can hold 12-15 people in one vehicle that shouldn't break the bank.  We are not using a shuttle service so I cannot make any recommendations.

  • I would think the hotel would accomodate you if they want to make a good impression.  The Holiday Inn told me the same thing and we didn't get the number of rooms they set as their minimum for the shuttle.  They're doing the shuttle anyway.  It's just good business.  If it were only one or two guests, I can see how they may deny you but for that many rooms I think they want to please a bride and a local wedding venue.
  • hhmmm...is the Inn at St. John's booked as far as rooms go?  We recently went to a wedding there and staying there was ideal.  And super affordable...just wondering if they would consider switching to make it simpler?
