Accommodation card

What wording did you use on your accommodation card?

I had the card worded as, "for our guests' convenience, we have reserved a block of rooms at....". This is the wording on the sample from the invitation company, but I was thinking that makes it look like we are paying for the rooms (we aren't). Listing the price of the room or even using "at a discounted rate" seems tacky to me. I also don't care for the word "block".

Did you use a different wording? Am I overthinking this?

    Simple solution:

    Accommodations

    Name of Hotel
    Address of hotel
    1-800 number
    website to make reservations
    Please reserve your room no later than month day, year.

    If that's the only hotel listed, everyone will assume that's where they are supposed to stay. No rate or block needs to be mentioned.

    It may be just because I haven't attended many weddings as an adult, but if I saw this written, I wouldn't be sure if it implied that this was a good option if I wanted a hotel, or if you were saying that you were paying for me to stay there and I just had to call reservations before x date to let them know how many beds I'd be needing.

    I think you're overthinking it.

    At a minimum, use the words "block" and "discounted rate."  But I also think just putting the price out there is helpful, since if its a price your guests don't want to pay they will know before ever calling the hotel whether or not they want to look for other accommodations.

    Then again, I skirted the entire issue by just having our "accommodation" card give our website info, so I could definitely be wrong about this.

    I put the information for the hotel (including phone and website) then put this:

    A room block has been set up for the convenience of our guests.  When making a reservation, please mention the Smith/Jones wedding.  The following discounted rates are guaranteed until April 20, 2011:

    - Standard Double - $95/night
    - Standard King - $95/night
    - Deluxe King - $119/night
    - Luxury King - $140/night

    <div>I'd be worried about putting rates in since the hotel reserves the right to change the rates in most cases. The rest of the verbiage seems good, so maybe just re-word the last line to "The discounted rates are guaranteed until April 20, 2011."</div>

    It was in my contract that the rates were guaranteed at those specific numbers.  Plus the hotel was at the reception location.  My invites went out and all my guests were able to book rooms no problem.

    But it is good advice for other brides who don't have it in the contract.

    This is currently what I have on mine:

    "A block of rooms have been reserved at a special rate for your convenience under the Smith-Doe name at the following hotels:

    Hotel
    phone number
    &
    Hotel
    phone number

    Please secure your reservation before the twenty-second of July"

    I think the word "block" is what everyone uses and expects to see in reference to hotel rooms for weddings. So I don't think it's bad to use it.  However, using "special rate" avoids the word "discounted" and sounds more...special. :)

    Thanks for the advice. Yes, I am totally overthinking this! Lol. I'll put block and discounted, or special :), back in the mix and call it a day!
  • Our complication:
    The resort fills up quickly and we wanted to guarantee that everyone is staying there at the beach so we paid the deposit ourselves to secure all the suites. The resort's other option obviously was to have the suites blocked and people required to reserve by such and such a date/pay the resort direclty. Since we have already paid, the guests will be paying us our share. I wonder how this should be worded on the save-the-date email/wedding website, instead of having to relay this information to each party individually: in other words, we have figured out who is staying in which suites (most of the multi-bedroom suites accommodate 7-8 people), e.g. one family of 7 in one suite, and another extended family of 8 in another suite.
    Family member X with 7 members is going to pay the full 179 for their whole family obviously, whereas, in another suite with single friends and bridal party, they'll divide that 179 between them. Talk about overthinking lol. Technically the price per person/per night is around 39 dollars , I'm definitely overthinking this and getting exasperated how to word this or do we just make it easier by emailing each party individually and saying your suite is X dollars and we prepaid this already to secure the room so please pay me directly by such and such a date. UGH!
  • Addendum to my previous post- the wedding is at the resort, which is why we're booking everyone there for accommodation as well, otherwise the offering of several hotel options would be the way to go.
