RSVP for Transportation?

I was working on the wording for our RSVPs today and had a question similar to the one a few posts below.  The majority of responses to the previous poster were comments regarding the distance between her venue and hotel, so I'm posting a similar question in hopes to get your opinions on my RSVP wording.

Our wedding venue is 25 mins away from the closest town with ample hotel accommodations.  We reserved a block of rooms and booked a school bus to provide transportation between the hotel & venue (ceremony and reception are at same location).  The bus will be making one trip to the venue before the ceremony, and it will make 2 trips back.  Due to the distance, I would need to know if we have enough space on the bus for everyone or if I need to hire another one, since it won't be able to make multiple trips to the ceremony without guests being super early or missing it entirely.

For our room block we were only able to set aside standard 2-queen rooms and suites.  If a guest wanted to book a king room for 2, they would not get a discount or be in the room block.  We know of one couple who has already booked a king and plan to take the bus, and others may be as well but we wouldn't know unless they informed us.  The hotel we have the block with is an average, mid-price hotel. There are more expensive and less expensive options in the same town, so some guests may choose to book elsewhere.  This hotel is right off the 2 major highways and guests coming from pretty much any direction will drive by the hotel when going to the venue. 

My accommodations insert has a line about transporation worded "transportation will be provided to and from the wedding for hotel guests" and I will list the times on the referenced wedding website, but I don't think its guaranteed that other non-wedding block guests won't plan to take the bus.  Guests may stay at nearby hotels, book rooms outside the room block, or drive home but take the bus anyway due to the location.

Finally, the question! Would it be appropriate to add a line at the bottom of the RSVP for guests to check off if they will be using the provided transportation?  The rooms in the block are released Apr 30, and my RSVP date will be May 1, so I think most guests would have an idea but of course I'll plan for a few extras. I've been to many weddings but have never seen this done before. It seems like the most convenient method for both the guests and myself but I could be wrong?

  • We asked people to RSVP  for the transportation on our website or emailing us at a special wedding email address we set up.   We set it up so wedding stuff would not get mixed in our personal emails.    Some of my less techy relatives just called my mom or us to let us know.







    What differentiates an average host and a great host is anticipating unexpressed needs and wants of their guests.  Just because the want/need is not expressed, doesn't mean it wouldn't be appreciated. 
  • We included a line on the bottom of the RSVP card that said "Please reserve ___ seats on the shuttle."

    People were good about filling it out and we did have people that hadn't reserved rooms at the hotel use the shuttle (but they had RSVPd for the shuttle, so we knew ahead of time0.

    I hope you get good advice on this that I can follow as well since I didn't get an answer to my post, just reprimanded for not finding a venue with hotels closer.
  • We did a separate RSVP card with our invitations.
