When should we book the hotel rooms for guests and what all do I do for this?

  • It depends on the hotel.  The one we're using is connected to the reception hall, so I did it right after we signed the contract there.  They will hold a block of rooms until one month before the wedding, then they're released.  We can add rooms if needed and aren't charged for any rooms that aren't booked.  Some hotels will do this, so you need to talk to the hotel to make sure you won't be paying for unused rooms.

  • My wedding is in May and I already blocked rooms. I just called the hotel and told them that I needed to block rooms for a wedding. Are you trying to actually book the rooms or just block them off for your guests?
  • Are you actually booking and paying for their rooms or do you mean block a set of rooms?To block rooms, you can do it any time the hotel says it's okay.  I mean more than 9 or 10 months early is probably too early, but otherwise, whenever.  Just call the hotel and tell them that you are interested in reserving a block of rooms for your guests, ask if they offer any type of discount, and they'll take your information.  Then when your guests call to reserve their room, they will need to say they are with the foster/groom wedding.  The hotel should NOT make you give a credit card or any type of guarantee that the rooms will be used.  Usually you block a certain number of rooms and if your guests haven't reserved them all by 30 days before the wedding, the hotel opens them back up to the general public.

  • I called around to several hotels 3 months before the invitations were to go out. I walked through a few and picked the one we thought was most accommodating. Then you just hold a certain # of rooms and put the information in the invites. Not hard at all!

  • I am a nerd and actually toured the hotel where people will be staying before blocking the rooms.

  • If I were you I would just request a block and let the guests reserve rooms themselves.  If you find a hotel or two that you would recommend, you can ask to speak to their sales office and they will help you.  My FMIL blocked some rooms at a Hampton Inn and they created a custom website for our guests to book on.  It was pretty cool.
