Blocking Rooms - When and How Many?

We are having a DW and are paying for our wedding party and most family to stay at the B&B where we are getting married. But for our other guests, FI and I are trying to figure out how to coordinate the blocking of rooms at nearby hotels. We honestly have no idea how many people will actually come since it is so far away. How do you figure out how many rooms to block off and at what point should we start doing this? Should we wait until we get RSVPs? I'm worried the rooms might book early if we don't do it soon since it's Memorial Day weekend in Napa Valley. Any suggestions? Thanks!

  • I used hotelplanner.com. Most of the hotels do not penalize you if you don't reach your block number. Just count how many OOT guests might need rooms and give htem your best guess, with a few added on just in case. If they don't all book there, its not biggie, but you can lock in a rate for them now, which is pretty nice.

  • Oh, and I'd say do it before you send the invites, so people can see if they can afford to come and can get their accomodations in order before they RSVP.

  • I would definitely book NOW! I work at a hotel in a very small town in Iowa and Memorial Day weekend is always super busy. At my hotel we block off up to 20 rooms and then any rooms that aren't reserved 30 days before the wedding get released to the general public. I'm guessing most hotels do something similar to this. Anywho.. I would suggest booking enough rooms for like 2/3 of OOT guests (or the max that the hotel will let you book). And definitely put something in your invites so they will know to call the hotel ASAP since the rooms will most likely be released on a certain date. HTH :)

  • We will have a lot of OOT'ers for our June wedding so we went ahead and have already blocked off our rooms.  They suggested we start with a smaller # (15) and they could add if needed.  There are a lot of hotels in the area so we were going to note that rooms have been blocked off @ such and such, but then include names & #s for one or two more that are across the road and a little less expensive.
