Reserving a bloc of hotel rooms

Is there some sort of percentage or formula I should use to figure out how many rooms to have the hotel reserve?  Or do I just go down the guestlist, guessing at who might want a room?

Re: Reserving a bloc of hotel rooms

  • Most hotels will take a room block for 10 rooms at a time and they usually discount the rooms for your guests.  When those 10 are booked, you may block more.

If it's a large wedding or a vacation spot, book 10 at a few hotels if you have that many guests fromout of town
  • You need to talk to the hotels you are interested in and make sure you won't be on the hook for anything if the rooms aren't reserved, because hotels sometimes treat this differently and that will impact how many rooms you want to block.  As long as you won't be responsible for anything, there's no harm in overestimating how many you will need.

  • 10 or 20 rooms at a time seems to be the norm depending on the size of the hotel.  We have 4 room blocks arranged with 4 hotels in our city, and each range from 10-20 rooms at a time.  When the blocks fill up (which I won't anticitpate they will), they will open more rooms at the group rate.
  • Our hotel is beginning with a 10 room block and they will add two additional rooms as needed until a month before the wedding.  Some hotels may have a similar policy.

  • I did the same as PP.  I have three hotels booked, 2 with 20 rooms, and 1 with 10 rooms.  One is significantly more expensive, but that's where me and FI are staying and people have expressed that they will want to stay there too.

The two with 20 have a date about 3 weeks out from the wedding where they release the block.  The swanky hotel has the date about 6 weeks out.

  • I went down the guest list, figured out how many rooms I thought we'd need, and asked the hotel to block that many.  They did.  It really depends on the hotel's policy, though.

  • The hotel we blocked rooms at asked how many people were on our guest list. Based on that, they said they would block 25 rooms, and would open up more if needed. We ended up with 22 rooms booked so it worked out perfectly.

  • Thanks all!  I really didn't know where to start, so this info was very helpful! Smile
