Hotel block- how to word

I've read through a bunch of posts on here, hoping I'm not asking a common question, but I haven't seen a similar question.

The venue where we are having our ceremony and reception is a B&B.  In order to have the reception run past a certain hour at night, all of the rooms surrounding the garden area must be booked by guests of our wedding.  I am planning on blocking off rooms when we get a little closer to the date, and I am planning on stating this on our wedding website.  My question is- is there a proper way to "suggest" our guests take these particular rooms?  Should I only block off these rooms?

  • Yeah, just block off those particular rooms and say:

    Rooms are available at the xyz B&B.  Please reference the Smith-Jones wedding when making your reservation.

    I don't know that I would necessarily say anything about the reception going longer if those rooms are booked.  I would probably keep that behind the scenes with you and the B&B and make sure if people reserve rooms that the B&B puts them in those particular rooms.

    I should have noted that all of the rooms are decorated differenty and have different prices, so unlike a hotel, you acutally pick the exact room you want to stay in.  But, I guess I will just block those off and hope they get filled!
  • You can simply say something like, "convenient lodgings are available at suchandsuch location and can be reserved at a group rate when you mention jamiemarie's wedding."

    As far as how many to block.. that will depend on how many OOT guests you expect might need a hotel room.

    That's a good point, I wasn't thinking about that.  Maybe you could say what I suggested and add "we suggest the rooms nearest the garden for our wedding guests" or something like that.

  • And have the B&B staff suggest those particular rooms as well if someone calls and says they're with your wedding and are asking for a room that's not near the garden area, if they're willing to do that.

  • Are they more expensive than other rooms? Can the B&B give your guests a discount-  like 10% less than whatever their website suggests? If you can work out a deal like that, I think it's fine to just reserve the garden rooms for your guests. How many rooms are there? Can you and your parents take a few of them?

    One is on the cheaper end of all the rooms they offer, 3 are in the middle and 2 are on the higher end (these sleep more people).  Also, one of the most expensive is the honeymoon cottage we will be in.  Good suggestion about the parents- we can suggest these rooms to them, and that will cover 3 rooms, all together there are 6. 

    I hope they offer a discount.  I'm going to call today and see if it's not too early to block rooms.
  • I blocked my rooms 11 months in advance because I wanted to put the information on my STDs, which went out at 7 months. That was at a regular hotel though. Good luck!
