Final Counts

Ok so when you have to call your caterer or venue to give your final count like 2 weeks before or whatever your time is...Are you going to give them the exact number of "yes" RSVPs or will you shoot a little under to account for no shows? (my venue will do a final count of arrived guests and my total can go up but not down)

  • If your venue is going to do a count and you cannot adjust downward, I'd probably take off 4-6 to account for no shows. You know you'll still have enough food (are you doing a buffet?) so it won't negatively affect your guests.

  • If you're doing a plated dinner (we are) you really should give them the exact count.  If someone is going to be tacky and RSVP yes but not show, ugh... but if everyone shows I want to be able to feed them!

    I am in the same boat (Count can go up and not down once we give final guarantee)

    Our reception will have food stations so I am definitely giving them about 5 under just in case!!!

  • I agree with PP. If you're having a buffet, I would adjust by about 5. If it's plated, give exact count.

  • My venue told me to give them 5 less than actual amount "yes" people that we have. The venue said we can always add on more people and the last minute but not subtract.

  • Since we're doing a sit down dinner we have to give an exact count, or else some people woun't get served because they count the guest when taking dinner orders.  We have to pay in full 2 weeks before.

  • We have to give a final count 1 week before the wedding. Same as everyone else can go up but not down. We are doing a plated dinner as well, so I will be giving an exact count. Hopefully no one no-shows
