reception room issues

So just called our reception place which is also a golf course in MI! We had booked our room and paid the deposit which fit up to 300 guests and the outside pavilion for the cocktail hour. So I called to set up our food tasting so we can decide on our menu and they told me they had double booked our room for that day. I was so furious. They told me they have a smaller room which fits 100 people but I dont think it will fit everybody comfortably at my reception. Then they tried to sway me to take that smaller room by saying they would give me the deposit back and there would be no deposit for the smaller room. I dont know what to do? I want the room I originally booked. The other bride should take that smaller room. So frusterating...

  • Do you have a contract saying you have the larger room?  If so, I would call them back tomorrow and say "our guest list is too large for the smaller room.  How do you propose to resolve this problem?"

    Leave it up to them to deal with it.

  • I agree with PP but also I would have them look into her guest list. If she has fewer people they should try to offer her that option, since she may be able to fit her guests in the smaller room.
  • Ditto PP. If you have a contract than it is their problem to fix. If you're guest list is 100 or more I would not consider taking the smaller room. 

    Also, agreeing to wave your deposit isn't much help to you since it's something you'll probably just pay later, in another form.

  • I am with the PP. Don't understand why vendors tend to due stuff like that. I think its crazy.  I know I contacted my decor person to see about some cake stands and she only had one available for that day, I was like wow.  That made me put it in my mind to check with her 60 days to the wedding date to insure all the items we booked for the wedding will be at the receptiion. Our WHOLE recepition is what we are paying them for and for what we are paying, they better deliver or we are going to have a SERIOUS legal issue.

  • I agree with PPs. If you have a contract stating you get a room then its YOUR first choice on whether you want it, not them trying to sway it for someone else. If you choose on your own accord to change rooms then that's fine, but they shouldn't be trying to make you.
    Although if they had of approached it differently I'd see nothing wrong with them mentioning it. I know I changed my rehearsal dinner location on the resort because my coordinator called me and explained they have a bride booking her wedding that evening that liked the venue. She said she told the bride it was already booked but will let her know if it opens up, and then spoke to me about it. Of course I moved my rehearsal dinner, its not like its my wedding! But the approach was TOTALLY different from what you're explaining anyway!

  • Agree with PP that this is their problem if you have a contract for the larger room.  If your guest list exceeds 100 I would not switch rooms (unless we are talking about 101 on your list and you've ben told 3 people can't make it already but you get what we mean).  Offering to not have a deposit doesn't really convenience you much, you weren't counting on having that deposit money to play with anyways.  If they are reducing your cost by the deposit that would be at least an incentive (and it should be cheaper for the smaller room too).  If you can't fit into the smaller room, tell them your guest list won't allow it and they need to figure it out.  If your guest list allows it, it could still be an inconvenience for you AND could make your reception feel more crowded, so I'd make them do more to make this right to you (throw in something extra, reduce your cost etc).

    Other things to consider with the smaller room are if the dance floor can fit/be the same size.  Take your time on switching to make sure it will be a smooth transition and you get compensated if you think it can work for your guest list.

  • So I am now getting married on Sept 29 instead of the 22nd. Since my reception place double booked me they offered me the 29th and they would waive the 1900 room fee. So now I am getting my room I wanted just a week later and saving 1900! I would say not a bad thing that this happened. Plus called my florists, photographer, dj, church, my wedding party all are able to change to the 29 with no problems!! I'm just happy it all worked out great!! :)

  • Wow !!  that's awesome !!  Hopefully, you haven't ordered your invites or anything else with the date on it... but, with a 1900 dollar savings... it would be worth it !  :)

  • Yah I hadnt done my invites yet.  I was amazed and proud of myself that I didnt flip out when I had to change my date.  But it all worked out in the end for the better!
