Our DOC/planner QUIT. 25 days away...

So a major reason for choosing the venue we did over others we liked just as much because it came with the on site planner and day of coordinator services. 

Well. She was sending me awkward emails today and kept asking when I was going to be in town next so I finally just told her to call me...and when she did, she dropped the bomb that she's leaving the club and won't be working there anymore. Her last day is May 15th and my wedding is May 26th. Apparently she can't bear to work there 11 more days to follow through with my wedding. We have worked with her since we booked the venue in August and have loved her the whole time. She's done a ton of events at the venue and has several years of experience. She not only makes sure the day goes smoothly but also makes sure the room looks like my vision and assists in setting up the centerpieces, candy bar, and everything. 

She told me she hopes they will have a new person in by May 14th but she isn't certain, but is "positive" they will have someone by my wedding day. Yeah right, you can't guarantee that if they haven't hired anyone yet. 

I'm devasdated. I can't believe she can't hang on just 11 more days for my wedding. And now we might be totally screwed and they day could turn in to complete chaos and nothing will look right. 

She asked me to find a way to come into town and meet with her with my mom and MOH to make sure we have all the details hammered out and written down so the next person knows exactly what's going on. I've spoken with my mother and MOH and we've decided that we are going to request a representative from the venue be there as well who will be there on the wedding day as well. If they don't want to provide someone because they aren't going to be the new official event planner, I may lose it entirely.

  • I'm sorry :( Definitely a crappy situation but the truth is, anyone, at anytime, could quit the venue and find a new job. They really have no obligations to, "just stay another 11 days". She may have got another job oppurtunity that is paying her thousands more, she may be moving, she may have a sick relative, etc. We never know the circumstances, unforunetely. 

    If the venue does wedding I am sure they are capable of getting everything done. 

    From here I would get the timeline of the evening nailed down right away so this can be passed on. The main people that need this are the caterer and the DJ anyways.

    As far as decor start making lists, table diagrams, print pictures, etc. of how you want everything done. Put things in boxes, label them and put directions in each box. 

    You'll be fine. You might be losing 1 vendor but there will be many others on the day to make sure it all runs smoothly. 
  • Unbelievable.  I can only imagine how much you are stressing out right now.  I suppose we don't know her side of the story, but still - it would be nice of her to stick around long enough to transition someone new into the role!  It sounds like you've got a good plan though.  I sure hope the venue works with you and has someone attend your meeting.  Obviously the whole reason you wanted a DOC is so you wouldn't have to be burdened with all these types of details on the day of!
  • I agree with PP, it is a sucky situation, but if the venue has done weddings before they should be able to pull it off :)

  • Oh no that stinks! I would be upset if I was in your situation too. At my venue, our DOC is pretty much the only one who handles the events so I don't know what would happen if she left! I hope everything goes smoothly for you!

  • If it makes you feel any better, the wedding coordinator at my venue has changed TWO TIMES since we signed them. I'm highly annoyed; I understand how you're feeling.

  • I just found out that the event coordinator at my venue had her baby 2 months early this week.  Thankfully mom and baby are ok but now we are dealing with a new person 17 days before the wedding.  The venue has beenaround for years so I'm sure all will be fine.
