Room reservation check?

Our hotel/venue needs the room count for people to get the discount forty-five days before our wedding.  We sent out the room block cards with our save the dates (faux pas or no) a few months ago...should I check with people to see if they've made their reservations?  Or should I wait until after the invites go out?  Mostly, I just want people to get the best rate on the hotel rooms.

  • Yeah, people should know that they need to reserve their room at least a few weeks out to get the block rate. There's no need for you to check in with people.

  • Most guests understand that room blocks' rates are only good up to a certain date. While 45 days is pretty stringent (I think ours is 3 weeks), I'd trust that they plan their own arrangements. You could post on your wedding website the cut-off date or spread it via word of mouth, but I wouldn't call and check up on people.
  • I would personally email a few people a reminder, and ask them to spread the word. As a bridesmaid in a friends recent wedding, I handled giving out all the hotel info to our friends, and I was happy to do it.
  • Did you note the deadline to the discount rate on the room block card?  From what I am reading you probably didn't.

    I wouldn't say anything.  Let your guests deal with their on lodging.  You have done what you can and now it is up to them to make their arrangements.


  • did you include the date the block would be released with the info in the STD?  If yes, I'd let it be (minus maybe sending a reminder to BP or others who I KNOW are coming). 

    If you didn't include the date then I think a mass follow-up email (Bcc'd for guests' privacy) is a good idea.  Or including the info again with the date in the invitation.

  • We put the hotel room block deadline date on the Accomodations Card that will be sent out with our invites. For some reason our hotel also gave us 45 days prior to the wedding for the discount also. We wanted our guests to be aware of this so that if they are planning on staying over they don't wait until the last minute to make their reservations and lose out on the discount.
  • OP it sounds like you haven't sent your invitations yet. I would note the deadline on the invitations on your info insert along with a reminder of the block info. I also put the deadline on our website so anyone poking around there would know.

  • The date was on the accommodations card that went out with the Save the Dates, so everyone knows they need to call by Nov. 1 to get the rate.

    I suspect the 45 days has to do with the fact that our wedding is on Dec. 14 in a college town where parents might be coming to pick up their kids.
