XP: Shuttle Logistics

We have a shuttle to bring guests from the hotel to the ceremony and hotel to the reception venue. The shuttle is large (holds 56), but still unable to accommodate all of the hotel guests to the ceremony - there is only time for one trip whereas with the reception there will be time for multiple trips. So for the ceremony a lot of immediate family from the area will be driving to help out. Now guests who aren't staying at the hotel are calling and asking if they can utilize the shuttle and I am honestly just not sure how to say - no due to the logistics - without being rude. Any help greatly appreciated!

  • Blame it on the shuttle company or the hotel. "Unfortunately they can't accommodate guests not staying at the hotel. Perhaps you and uncle Ed can car pool?"

    I would do one of a few things:

    1) Be honest, apologetic and genuine!  This won't be rude!  Explain there is only one trip... and it's unfortunately currently full.

    2) Offer them the ability to drive to the ceremony, return to the hotel  afterward and take the shuttle to the reception.

  • Tough one! I thought about it and agree with both of the things InkedMegs said. You're doing everything you can to accommodate your guests and make the day easy on them, so rest assured you're not being rude. Hopefully everyone understands!
