Negotiating with reception hall

Hi, I am preparing to sign a contract with the reception hall. What are some things I should definitely look out for? Anything that you know is negotiable and I should mention? Any hints and pointers much appreciated!!! Ela

At the Villa Borghese they take money off per table if you bring in your own florist. They have a refferral program if you say we reffered you then you and we get money off per person depending on the day of your wedding.

Ask if there is anything they can do if you pay in cash.

Thank you for advice. Can you explain about the flowers again? I am not sure I understand.  Wouldn't the reception hall lose their referral from the florists they are recommending?

some of the packages available thru the Villa Borghese include flowers on all the tables, if you choose to do your own flowers or use your own florist they will credit your bill.  I'm not sure that all venues include this but if they do its worth asking.

You can negotiate more if you're flexible on the day (Sat night will be most expensive) and time of year.  We saved $4 pp by moving back 1 week from a Sun in June to a Sun in July.  And if you don't want as much at the cocktail hour, you may be able to take away things to reduce the price or you may be able to have something added without increasing the price such as trays of cookies/pastries in addition to your cake.

I agree with pp, what can they do if you pay in cash has helped us a bit on a few different fronts.

Paying in cash definately helps in negotiating things ... I'm getting married in march and since it was "off season" we were able to negotiate the per head price down a bit and include more and that helped alot.

Also, see if you can make variations within your package to cut back in costs. Our venue charges $10/pp for venetian hour. We decided to skip it and still got cake, a crepe station, chocolate fondue, pastries and an espresso bar included which was more than enough.

keep your guaranteed guest count as low as you can, otherwise you will pay for people that won't be there

If you have a goal in mind, start out with, we really want to book here but our budget is $XX per person, what can we do to make it work. They may come to your price, if it's in a reasonable range, without even cutting anything.  Or they may cut minor things to get you do your price.  We had one place adjust the menu and come down $15 pp.Also, on hand have a few suggestions of things you could cut to get to where you need to be (an entree choice or a few appetizers).

We had a min of 80 people and were able to negotiate on the price even after we signed the contract by saying we would guarantee a min of 100 ppl.

If you want beer, wine and soda at the reception, that also lowers your price. And don't forget about the refferal program, ask Karen about it.
