Tech Savvy Knotties, I need your help!

My group needs new software for massive document storage, but it has to function like a library, not just a repository (if that makes sense). We currently use SharePoint and it's lacking some key features. 

  • We need to be able to index/sort by key words (this is one of the main things SharePoint is missing) 
  • has to have access controls 
  • has to be searchable 
  • we need to be able to upload word docs, PDFs, and excel sheets (that should be it, though) 
I've been googling and haven't come across anything yet. Does anyone know of software that would fit this criteria?

    My boss seems to love PDF Filler and Dropbox. I don't know enough about either to say if they meet your needs, but did you come across those? 

    My organization uses Google Drive and Google Sites for a lot of our business needs now, but it's almost tooooo searchable. My main complaint is that you can't sort by who uploaded the document, even though you can search by date and keywords for titles. It gets messy when so many things have similar names. We create folders that are private only to certain people all the time. The privacy settings are pretty decent, actually.

    I'll have to look into some of those. Thanks! Our issue is that we have over 12,000 files and that number is about to start rapidly growing since we merged with another company. And I'm the ONLY person who manages data for our group, at either company, and I am not tech savvy at all. Lol. What a mess.

  • We use a website called Box for document storage. Not sure if this fits your needs, but I have had great experiences with it. It is very user friendly and you can customize who has access to what files. You can even share files with outside organizations.

    I sell commercial real estate loans and the files are HUGE. I have never had a problem!

    My company also uses Box. I only use it when someone sends something directly to me, but I think it's cool that it's attached to my work username. When I click a link someone sends me, it opens up Box. Then it asks if I'm a Mycompany employee and when I click yes it asks for my network logon information. So it seems more secure AND I don't have to remember another password.

    But I don't really know any of the functionality. I just know the software group here (who likes all the new style stuff) likes it.

  • If you are already using SharePoint (yep, I manage all of our sites and hate it)  they do have the EDC through SharePoint that you can use, it's more of a repository but they are sorted in libraries. You are able to set audits, review workflows, it's searchable, and you can add keywords etc.

    It just doesn't do as much as we need it to do. We have over 12,000 files and we need a way to sort (like the way you can sort with an excel sheet) and there's some other functions that are lacking. Plus it seems like when you hit that capacity, the site starts to get bogged down and doesn't run well.
