Venue Guest Limit

I understand we have to follow venue rules, that is not a problem. My question is more about who counts as a "guest" to a venue? The minister? any of the vendors? Do the bride and groom count into the guest limit? I know this seems like a stupid question but I really cannot seem to find an answer.

    Usually everyone (bride, groom, vendors), but this is really a question to ask the point of contact at your specific venue.
  • Usually everyone including you and FI, the WP, and vendors. If you need more clarification, ask your venue and they will definitely be able to let you know.

  • I would ask your venue, but I agree with PPs that it probably means the bride, groom, families, wedding party, all other guests, and vendors.
  • It could either mean everyone if they're talking about capacity of the room (often linked to fire code).
    It could mean all guests that would be partaking in the food and drink (not everyone feeds their vendor the whole catered meal or let's them use the bar).

    To be safe, assume it's every body that will be present at your wedding until your venue confirms otherwise.

    Why wouldn't they?   They are eating,drinking and taking up space right?  Unless there is something in the contract that the couple is comped (which is rare) then they are included.


    My venue asked for a breakdown of adult, kids and vendors.    Combined the knew how many people would be there for fire code reason.  Individually they knew how to bill us.   Vendors, adult guests (including us) and children all had different rates.






    What differentiates an average host and a great host is anticipating unexpressed needs and wants of their guests.  Just because the want/need is not expressed, doesn't mean it wouldn't be appreciated. 
  • I would assume that the number is for total people who will be in attendance. Of course, I also would not try to invite up to the very limit of the room because that is not very comfortable for your guests and may hamper movement. Also, some guests could get into a relationship, have kids, etc. so it is always better to leave a little wiggle room for your own peace of mind so you don't have to scramble to accommodate later.
  • If the venue is talking total room capacity, that means EVERYONE (bride, groom, guests, vendors, staff).

    If it's is for pricing purposes (such as the minimum), everyone who is taking part in the food and drink. Yes, this always includes the bridge and groom- you will have your own seat, and a meal. If you have vendors working during the reception, they should receive a meal, but generally do not partake in the bar.

    I would double check with your venue about this. Our venue asked for numbers for vendors, adults and children. Vendor meals were the price of an adult meal minus the cost of the bar. Children 17 and under were the same (minus the cost of the bar), but 12 and under had the option of a kids meal.

    If you are paying based on a minimum, then your vendors should count towards this as you are still buying a meal. If it's about maximum seating and tables, vendors will count if they are seated with guests, but if, for example, your DJ will sit at their DJ table (ours did), then that should be separate.
