Last Minute Question - Seating Vendors

Dear all,

I'm just a newbie, so I apologize if I don't follow the correct format. Our wedding is coming up this Saturday, July 31, and we will definitely be providing a place setting at the reception for the videographer and photographer. We were wondering if it is customary to also provide a place setting for the caterer (and any of the chefs? other staff?) and/or the bartender? I knot they are going to be super busy during the actual reception dinner, so what is expected of us in terms of seating them? Any suggestions would be greatly appreciated!!

    no- even the video and photographer don't need a seat but they all do need food

    ETA meaning be sure they're counted for food but not chairs

  • You don't actually need to provide a place for any of your vendors at the tables. You hired these people to work and most likely they will grab a quick bite somewhere out of the way and then get right back to work. I certainly wouldn't expect them to sit down amongst my guests and take their time eating when they should be working.

    Yep, ditto that.

    You provide food for them but they don't sit with your guests.

  • If you have the space, maybe your venue can just set up a small table for all of your vendors to sit at together to eat real quick and then get back to work.

  • The venue will set up a place for vendors to sit. Vendors don't eat standing up. You just have to inform the venue of how many vendors you have. Sometimes it is with the guests in the rear and other times it is in another room. But it is not part of your seating chart.
  • Your venue sets a separate table in an adjoining room, or in the back of your room, for your vendors like photog, videog, band members, etc.
  • We have a bar area in the very back of our venue, so we figured we'd put places for them there. If nothing else, it's good for them to have a place to drop their things off.
